Office Administrator/ Coordinator
Mayim Rabim, a small and vibrant Reconstructionist Jewish community in Minneapolis, is seeking an organized, engaging, and energetic Congregational Administrator to help our community thrive. This role is ideal for someone who enjoys keeping an organization running smoothly while also building meaningful connections with members, partners, and the broader community.
OVERVIEWMayim Rabim is affiliated with the Jewish Reconstructionist Movement and is an inclusive, urban congregation of about 55 households. Our members, primarily adults in mid-life and older, bring diverse backgrounds, interests, and life experiences.
We gather for Shabbat services twice monthly, observe holidays throughout the year, and offer a variety of adult learning opportunities and social events. Our goal is to create a warm, welcoming, and spiritually nourishing environment where members find community, connection, music, learning, mutual support, and pathways to social action.
Most events take place in the space we share with the Minneapolis Friends Meeting in the Linden Hills neighborhood, with a mix of in-person and virtual programming.
The Congregational Administrator plays a key role in coordinating our financial, administrative, communications, and programmatic activities in alignment with the vision and goals established by the Board of Directors. This is an opportunity to help a small congregation flourish and to make a lasting impact on community life.
KEY RESPONSIBILITIES OPERATIONS & ADMINISTRATIONHelp keep day‑to‑day operations running smoothly, including:
- Coordinating calendars and logistics for Shabbat services, High Holiday services, and educational programs
- Handling correspondence via phone, email, and written communication
- Providing support to the Board of Directors, committees, and Rabbi, including attending meetings as needed
- Maintaining supplies and managing building access, setup, cleanup, and AV needs for events
- Documenting processes, policies, procedures, and other organizational records
Strengthen member engagement and community visibility by:
- Collaborating with the Membership Committee to attract and retain members
- Communicating with prospective members and the broader Twin Cities community
- Crafting weekly email updates, managing social media, and producing a newsletter
- Overseeing occasional advertising and creative marketing initiatives
- Maintaining the membership directory and coordinating member mailings
Support the congregation’s financial health by:
- Assisting the Finance Committee with reviewing income and expenses and preparing board reports
- Administering payroll and processing bills
- Overseeing bookkeeping, congregational accounts, and budget monitoring
- Supporting dues and donation collection
- High integrity, excellent judgment, and strong problem‑solving skills
- Outstanding organizational skills with the ability to manage multiple tasks and deadlines
- Clear and effective written communication, including proofreading skills
- Strong interpersonal communication and a warm, welcoming presence
- Experience with nonprofit operations, programming, and financial management
- Familiarity with Jewish life, Shabbat, holidays, and traditions
- A desire to serve as an active ambassador for Mayim Rabim within the community
- Ability to handle confidential information with professionalism and discretion
- Flexibility to work some evenings, weekends, and High Holidays
- Comfort with technology:
Microsoft Office, Google Workspace, Mailchimp, Zoom, social media, audiovisual equipment, and basic website updates - A versatile working style: able to manage projects independently while also pitching in with hands‑on tasks like preparing event space
- Ability to walk up a flight of stairs and occasionally lift up to 25 lbs.
- A valid driver’s license and access to reliable transportation
- Hourly Rate: $25–$30 per hour, depending on experience
- Hours: 12–16 hours per week (0.3–0.4 FTE)
- Eligible for MN Sick and Safe Time and MN Paid Leave (no additional benefits)
- Flexible, hybrid schedule available - some work must be done onsite
- We aim to build a long‑term, multiyear relationship with the right candidate
