OverviewWe are looking for someone to fill our Executive Assistant position, which includes heavy operational support and management of marketing activities. This person is someone who has a positive attitude, is learning and growth-based, calm under pressure, and aims to excel in all areas. They are detail-oriented, love building systems, and are equipped to support our real estate office. This person is also motivated by problems and highly skilled at being resourceful and finding solutions. When challenges arise, they will push through the obstacles and find solutions that not only solve the problems but also foster new and better ideas and opportunities, which results in a stronger team and business in the end.
Clients and our team members are the lifeblood of our business, and strong written and verbal communication skills to be able to effectively communicate with them. They think strategically about the audience they are marketing to and have an eye for design. They would be responsible for consistently marketing our business via social media, web, and print media in efforts to expand our business, elevate our brand, and grow client relationships.
Excellent project management skills to put together our two annual customer appreciation events are also a must.
- Record all office expenses and invoices, and complete basic bookkeeping tasks
- Prepare agenda for real estate team meetings and update calendar with appointments
- Adapt to the needs of the team and step up to help when appropriate
- Organize filing systems
- Prepare and send contracts to clients
- System development, implementation, and management
- Information and database management
- Maintain an operations manual that documents all systems and standards
- Maintain office supplies and run office errands
- Assist with scheduling showings and inspections
- Client communication and support
- Client care through mailings, gifts, and deliveries
- New listing onboarding
- Oversight and management of executed contracts through to closing
- Copywriting for various platforms
- Client event planning and coordination
- Growth of the brand – everything that goes out reflects the brand beyond the logo
- Increase online reviews
- Increase the number of followers on FB and IG
- Web, print, and social media marketing
- Update presentations as needed
- FB ad design and strategy
- Email newsletters
- Exceptional skill level with Google Suite and Microsoft Office products (Excel, Word)
- 2 years of office, corporate, or experience or similar work experience required
- Service-based attitude with the highest of ethical standards
- A real estate license is a bonus
- Project management and event planning skills
$55,000+ yearly
