Advent Talent Group is partnering with a well-established, global Retail Health organization to hire an experienced Executive Assistant to support the senior leadership team within a highly visible and fast-paced business unit in a global leader in Minneapolis, MN. This is a true business partner role, ideal for someone who thrives on anticipating needs, optimizing executive time, and operating as a strategic right hand.
OverviewLocation: Downtown Minneapolis, MN (Hybrid - paid parking)
Pay Rate: $/hour
Position Type: Contract-to-hire
Responsibilities- Manage complex, ever-changing calendars across multiple senior leaders
- Align executive time to key business priorities and strategic initiatives
- Act as a gatekeeper for incoming requests and meeting flow
- Prepare leaders with agendas, materials, and pre-reads
- Track action items and follow-ups to drive execution
- Arrange domestic and international travel, including detailed itineraries
- Coordinate high-level meetings, offsites, and leadership events
- Partner with internal teams on larger event logistics
- Process and reconcile expense reports
- Manage invoices, purchase orders, and vendor coordination
- Partner with finance and procurement teams to ensure accuracy and timeliness
- Draft, edit, and format professional communications and presentations
- Maintain a high level of confidentiality and discretion
- Compile inputs from stakeholders to support executive deliverables
- Collaborate across departments including Finance, HR, Legal, and Operations
- Support leadership initiatives and special projects
- Provide backup support to other executives as needed
- 5-7+ years of Executive Assistant experience supporting senior leaders
- Proven ability to manage multiple executives and competing priorities
- Strong experience with complex calendar management and travel coordination
- Excellent written and verbal communication skills
- High level of discretion and professionalism
- Highly proactive - anticipates needs rather than reacting
- Confident communicator who can manage up and influence priorities
- Strong judgment and prioritization skills
- Comfortable navigating fast-paced, high-demand environments
- Ability to push back respectfully and recommend better solutions
- Advanced Microsoft Office (Outlook, Teams, PowerPoint, Excel, Word, SharePoint)
- Experience with expense and ERP systems (Concur, SAP, Oracle, etc.)
