About the Role:
CBRE is seeking a detail-oriented Facilities Coordinator to support a premier global financial services client known for delivering wealth management and banking solutions to individuals and institutions. This client operates a wide portfolio of advisory offices and select retail locations across the United States, offering a fast‑paced, professional environment focused on client service excellence.
This hybrid role is based in downtown Minneapolis
, requiring onsite presence three days per week
. You will provide administrative and operational support to three Facilities Managers, and support approximately 200 sites across the region
. This position plays a critical role in ensuring smooth facilities operations, financial processes, and vendor coordination across a primarily wealth management‑focused portfolio.
- Provide day‑to‑day administrative support to three Facilities Managers, ensuring efficient regional operations
- Process and manage 200‑250 invoices monthly across the U.S. portfolio with accuracy and timeliness
- Create and maintain purchase orders, ensuring proper tracking and compliance
- Coordinate with vendors, landlords, and internal stakeholders to support facilities activities and work orders
- Maintain and organize documentation including proposals, invoices, and service records
- Monitor and update data across systems such as IFM Hub, Coupa, and Smartsheet
- Respond to inquiries and service requests from stakeholders, ensuring timely resolution
- Track performance metrics and support reporting for regional facilities operations
