Job PurposeThe Executive Assistant provides administrative and executive support to optimize the day‑to‑day effectiveness of the President/CEO. The role primarily supports calendar management, scheduling coordination, email and correspondence organization, meeting logistics, and administrative follow‑through. The position serves as a professional point of coordination for internal and external communication and requires strong organization, discretion, responsiveness, and attention to detail.
PrimaryDuties & Responsibilities
- Serve as an administrative point of contact for internal and external communication on behalf of the President/CEO, ensuring timely follow‑up and coordination.
- Draft, proofread, organize, and manage routine correspondence, calendar responses, meeting communications, and administrative documents.
- Manage the President/CEO’s calendar, including scheduling and confirming appointments, coordinating meeting logistics, preparing materials, and assisting with time management.
- Provide administrative support for board and leadership meetings, including scheduling, logistics, preparation of materials, and distribution of information as assigned.
- Coordinate meeting logistics, scheduling, reminders, and materials for leadership and organizational meetings.
- Maintain organized administrative systems and workflows that support efficient executive office operations.
- Organize and manage the President/CEO’s daily, weekly, and quarterly priorities, ensuring alignment with organizational goals and optimizing the use of executive time.
- Conduct research, track follow‑up items, and assist with problem‑solving on key issues requiring executive attention; provide thoughtful recommendations and draft appropriate responses as needed.
- Collaborate with the leadership team on special initiatives, projects, and events, offering administrative and strategic support.
- Provide administrative support for organizational events, meetings, and special projects as assigned.
- Develop and maintain systems for filing and record‑keeping of organizational documents, board materials, and other confidential information.
- Assist with internal meeting coordination, communication distribution, and basic document or presentation preparation.
- Other duties as assigned.
- $26.37 to $29.26 per hour, depending on qualifications.

- High school diploma or equivalent required.
- One (1) year of experience supporting organizational operations, coordination, project management, customer/client service, communications, or administrative functions.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), virtual meeting platforms (Zoom, Teams), Adobe Acrobat, and cloud‑based file systems such as Google Drive and SharePoint.
- Associate’s degree, bachelor’s degree, or equivalent combination of education and experience.
- Experience providing support in a nonprofit, mission‑driven environment.
- Experience supporting senior leaders, leadership teams, boards, committees, or cross‑functional initiatives.
- Familiarity with generative AI tools and workplace collaboration technologies.
- Strong organizational, administrative coordination, and time‑management skills for complex calendars and multiple priorities.
- Ability to prioritize effectively, manage competing demands, and adapt to changing priorities and urgent requests.
- Strong attention to detail, accuracy, and follow‑through.
- Strong written and verbal communication skills for clear, concise, professional correspondence.
