- Organize and pull together all logistical planning for campus events, serving as the point of contact from initial inquiry through event execution.
- Provide second‑level administrative support for contracted services, including food service, facility use agreements, and invoicing, while maintaining accurate usage and revenue records.
- Facilitate reservations using the event management system (EMS) and act as the designated on‑site coordinator for evening and weekend events.
- Coordinate daily set‑ups and tasks, guiding team members and ensuring schedules are clearly documented and distributed.
- Collaborate with ITS leadership, facilities supervisors, building services, general maintenance, and external vendors to support event setup, execution, and tear‑down.
- Manage after‑hours and weekend event staffing, planning and communicating needs in advance for appropriate setup, support, and cleanup.
- Serve as liaison to college stakeholders for campus‑sponsored events, ensuring they meet quality standards and comply with system and college policies.
- Demonstrated effort to improve cultural competence and participation in diversity training.
- Knowledge of facilities procedures for planning, preparation, implementation, and evaluation of a wide variety of college events.
- Understanding of budgeting and financial planning principles sufficient to ensure event compliance and manage budgetary requirements.
- Working knowledge of rules, laws, regulations, agreements, and contracts relevant to event planning and compliance.
- Excellent customer service skills and the ability to work effectively with diverse groups, coupled with strong organizational skills.
- Familiarity with collective bargaining agreements and ability to ensure compliance with contractual and labor agreements.
- Greater than one year of project or event management experience.
- Former and/or current employees must be in good standing with the college.
- Employees driving on college/university business who use a rental or state vehicle must conform to Minnesota State’s Vehicle Use Criteria and consent to a Motor Vehicle Records check.
Monday–Friday, 7:00 a.m. – 3:30 p.m. with occasional evening and weekend hours as required.
