Job Summary
The Staffing Coordinator plays a crucial role in ensuring that staff is fully supported. By coordinating staff assignments in alignment with patient care needs, you help maintain the continuity and quality of care across departments. With a strong understanding of staffing and scheduling guidelines—including union contracts, organizational policies, and timekeeping procedures—you provide accurate and timely scheduling support. You also assist with timecard management, ensuring compliance and consistency in payroll and attendance records.

Shift: Permanent Evenings (8/12 combo shift)
Hours per week: 32, Weekends:
Every 3rd weekend (Fri‑Sun)
Hybrid position, candidates must be within commuting distance to Abbott Northwestern Hospital. 0.8 FTE (64 hours per 2‑week pay period).
Key Position DetailsCombination of 8‑hour and 12‑hour Evening shifts (11:00am–11:30pm and 4:00pm–12:30am). On‑call may be required.
Responsibilities- Utilize staffing technology to allocate staff to meet the healthcare facility needs.
- Request daily per diem agency staff as needed.
- Document staff assignments and code schedules to ensure timecard accuracy.
- Use basic problem‑solving skills to identify where staff are allocated to meet staffing needs of units supported by the staffing office.
- Use critical thinking skills to anticipate staffing needs for the areas supported by the staffing office.
- Use electronic communication system to communicate with staff on staffing changes, openings, and scheduling adjustments.
- Understand how bargaining unit contracts affect the staffing process and policies.
- Forecast staffing needs using applicable technology.
- Report staffing status to house supervisors and department leaders.
- Use basic computer skills for data entry.
- Communicate regularly via phone with internal and external customers using polite and proper phone etiquette and communication.
- Orient new staff and others to the role or tasks as needed.
- Coordinate questions and problems to senior‑level staffing coordinators and other leaders, as appropriate.
- Attend and participate in staff huddles and department meetings.
- Perform other duties as assigned.
- Must be 18 years of age.
- High school diploma or GED preferred.
- 0‑2 years of basic computer skills, including knowledge and ability to use Windows, Word and Excel.
- Education and/or experience needed to meet required functional competencies as listed on the job description.
- Post‑secondary education.
- 0‑2 years of experience working in a fast‑paced medical environment with the ability to identify priorities, work independently, problem‑solve and multi‑task.
Sedentary work. Lifting weight up to 10lbs occasionally; negligible weight frequently.
Pay Range$22.04–$30.01 per hour, depending on experience, education, union agreement, and shift differentials.
