Part-Time Regulatory Administrative Assistant
This temporary, part-time role provides critical administrative support for regulatory labeling updates. You will perform highly task-focused, repetitive work that requires exceptional accuracy while working across multiple documents and systems. This position offers a valuable opportunity to gain hands-on experience in a regulatory and labeling environment within the insect-control products industry, supporting compliance-focused projects that help ensure accurate and environmentally conscious product information.
Responsibilities
- Copy and paste Spanish statements from EPA-approved translation sources, including PDF and Excel documents, into master label Word documents with a high level of accuracy.
- Compare and match Spanish statements to existing label content, even when wording is not identical, to ensure correct alignment with approved translations.
- Work across multiple files and screens simultaneously, efficiently navigating between Word documents, PDFs, and Excel spreadsheets.
- Follow established processes and formatting standards precisely to maintain consistency and regulatory compliance across all labeling documents.
- Use computer functions such as search (e.g., Ctrl+F), copy, paste, and data transfer to move information accurately between documents and systems.
- Collaborate with regulatory team members by providing timely and accurate administrative support to help meet project timelines and labeling translation deadlines.
- Maintain organized documentation and ensure that all updates align with regulatory requirements and internal quality expectations.
- Perform extended periods of focused, repetitive computer-based tasks while sustaining attention to detail and accuracy.
- Handle routine administrative and data entry tasks related to regulatory documentation and labeling updates as assigned.
Essential Skills
- Strong attention to detail and accuracy in all tasks.
- Intermediate proficiency in Microsoft Word, including working with documents, formatting, and text editing.
- Intermediate proficiency in Microsoft Excel, including viewing and transferring data.
- Intermediate proficiency in working with Adobe PDF documents, including viewing and extracting information.
- Ability to focus for extended periods on repetitive, computer-based tasks without losing accuracy.
- Fluency in reading and understanding English.
- Comfort navigating multiple computer systems, files, and screens simultaneously.
- High school diploma required.
- Experience with administrative support, data entry, or documentation tasks.
- Familiarity with regulatory or documentation processes.
Work Environment
This is a part-time onsite role, scheduled for 16 hours per week, typically working 8-hour days on Tuesdays and Thursdays. There is flexibility for an alternative schedule consisting of 8- to 6-hour days on Tuesday, Wednesday, and Thursday, with no work scheduled on Mondays or Fridays. The position is a temporary contract planned for approximately 3 to 6 months, depending on project progress and business needs.
You will work at a corporate office in a cubicle setting, using a computer equipped with dual monitors, keyboard, and mouse. The role involves extensive computer-based work throughout the day, including frequent toggling between Word documents, PDFs, and Excel spreadsheets, as well as regular use of functions such as Ctrl+F, copying, pasting, and transferring information between documents. You will work closely with regulatory labeling documentation, including master label documents and EPA Spanish translation guides, in a highly procedural and accuracy-driven environment that supports regulatory compliance.
The position requires constant sitting, walking, and standing throughout the day, along with frequent use of hands for simple grasping and fine manipulation.
