About the Role
CBRE is seeking a detail-oriented Facilities Coordinator to support a premier global financial services client known for delivering wealth management and banking solutions to individuals and institutions. This client operates a wide portfolio of advisory offices and select retail locations across the United States, offering a fast-paced, professional environment focused on client service excellence.
This hybrid role is based in downtown Minneapolis
, requiring onsite presence three days per week
. You will provide administrative and operational support to three Facilities Managers, and support approximately 200 sites across the region
. This position plays a critical role in ensuring smooth facilities operations, financial processes, and vendor coordination across a primarily wealth management-focused portfolio.
- Provide day-to-day administrative support to three Facilities Managers, ensuring efficient regional operations
- Process and manage 200–250 invoices monthly across the U.S. portfolio with accuracy and timeliness
- Create and maintain purchase orders, ensuring proper tracking and compliance
- Coordinate with vendors, landlords, and internal stakeholders to support facilities activities and work orders
- Maintain and organize documentation including proposals, invoices, and service records
- Monitor and update data across systems such as IFM Hub, Coupa, and Smartsheet
- Respond to inquiries and service requests from stakeholders, ensuring timely resolution
- Track performance metrics and support reporting for regional facilities operations
- High school diploma or GED with 1–2 years of administrative, facilities, or accounting-related experience
- Basic accounting or financial processing knowledge (invoicing, purchase orders, reconciliation preferred)
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Experience with platforms such as Coupa, Smartsheet, or similar systems is a plus
- Strong organizational skills with attention to detail and accuracy
- Ability to manage multiple priorities across a large, multi-site portfolio
- Effective communication skills to interact with internal teams and external vendors
- A proactive, service-oriented mindset with the ability to follow established processes and procedures
CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Facilities Coordinator position is $55,000 annually (or $26.45 per hour) and the maximum salary for the Facilities Coordinator position is $70,000 annually (or $33.66 per hour). The compensation offered to a successful candidate will depend on their skills, qualifications, and experience.
