DescriptionThe Office Manager oversees daily corporate office operations, supporting multiple departments while ensuring a professional and organized environment. This role manages front desk responsibilities, office and facility coordination, vendor relationships, and supply inventory, playing a key role in maintaining efficient office operations and a positive workplace experience. This role ensures a professional, efficient, and organized workplace environment and supports administrative, operational, and customer-facing activities.
KEY RESPONSIBILITIES AND TASKS:
- Professionally greets individuals on the telephone, provides general information, answers questions and directs individuals to appropriate department as necessary
- Serves as the first point of contact for the office, greeting and assisting visitors, vendors, and guests in a professional and welcoming manner
- Maintains the front office areas to ensure a clean, organized, and professional appearance
- Oversees daily office operations to ensure efficiency and organization
- Manages inventory of office, kitchen and janitorial supplies, including ordering, tracking, and ensuring stock levels are maintained
- Assists with space planning, meeting room management, and office logistics
- Coordinates all incoming and outgoing mail and shipments, while also assisting with preparing and coordinating larger shipments, including freight pickups and deliveries for marketing materials, trade shows, and other business needs
- Provides light accounting support, including setting up new vendors and maintaining accurate vendor records
- Manages general facility needs, including seasonal maintenance such as scheduling snow removal and sprinkler services
- Assists with scheduling meetings, travel arrangements, and calendar coordination as needed;
Supports planning and coordination of larger events, including sales meetings, with occasional responsibility for travel/hotel bookings and logistics - Provides administrative support to leadership and departments as needed:
Accounting, Human Resources, Customer Experience, Marketing, and others, ensuring efficient coordination and communication across the organization - Serves as a central point of communication for internal teams and external contacts
- Maintains consistent attendance and punctuality, working assigned hours and shifts as scheduled
- Performs other duties as assigned by manager
EXPERIENCE :
- High School Graduate or GED, or higher education
- 5+ years of administrative or office management experience
- Experience managing office operations, event coordination, travel arrangements, and supporting multiple departments
SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:
- Proficiency in Microsoft Office including Word, Excel and Outlook
- Strong verbal and written communication skills
- Professional and welcoming demeanor with a customer-service mindset
- Ability to interact effectively with employees, customers, vendors, and leadership
- Discretion and ability to handle sensitive or confidential information
- Detail oriented with ability to be self-directed
- Ability to multitask and adapt to changing work environment and responsibilities
- Ability to sit behind a desk for 8 hours
- Must be able to lift, carry, and move office supplies and packages as needed
- Ability to work on a PC as required
