Order Intake Coordinator – Minneapolis, MN
The Order Intake Coordinator is responsible for processing all patient related paperwork for the sales team. This includes processing faxes received, incoming referrals and data entry in the Filemaker program. This position coordinates and maintains the order completion process to ensure service levels and insurance requirements are met. This position involves high volume data entry with a focus on accuracy and efficiency.
HoursMonday – Friday 8:00 AM – 4:30 PM.
Interview ProcessPhone screen with agency, then a 30‑minute virtual interview with Bryan Jackson and Nicole Kennedy.
Training PeriodOnsite training could be 2 days to 1 week. Two days required in office during the month. Candidate needs to have appropriate WFH set up with stable internet connection.

- Provide internal administrative support for the Sales Team.
- Enter new patients received from clinics or sales representatives into the Filemaker database.
- Conduct clinic outreach for missing referral information.
- Process all order-related paperwork in a timely and accurate manner ensuring service levels are met.
- Ensure paperwork meets payer requirements and standards.
- Ensure regulatory requirements such as HIPPA are followed and incidents reported to supervisor.
- Attend monthly required meetings such as 1:1’s with supervisors, department meetings, stretch meetings, and company town halls.
- Assist with overtime requests from supervisors.
- Other duties as assigned such as database clean‑up, cross‑departmental assistance, and database testing.
- Associate Degree or equivalent work experience (required).
- 2+ years of data entry experience (preferred).
- Previous experience with Filemaker (preferred).
- Ability to adapt quickly to changing protocols.
- Ability to take written and verbal directions.
- Demonstrates organizational skills.
- Ability to focus for long periods while maintaining speed and accuracy.
- Demonstrates ability to communicate clearly and effectively.
- Strong collaborative style, both internally and externally, to ensure objectives are met.
- Demonstrates ability to successfully manage multiple tasks at one time.
- Proficiency with Microsoft Word, Excel, Teams, and Outlook preferred.
