Clerical, Office Administrator/ Coordinator
Key Responsibilities
- Responsible for receiving and processing physical mail and paper documents, preparing, scanning, indexing, and quality‑checking records to ensure accurate digital imaging, storage, and retrieval.
- Receive and process physical mail deliveries from the mailroom, preparing documents for imaging and digital processing.
- Operate high‑speed scanning equipment to convert paper documents into electronic images for downstream business workflows.
- Perform document indexing and quality control to ensure accurate imaging, record storage, and future retrieval.
- Manage electronic records in accordance with organizational retention and storage requirements.
- Utilize multiple computer applications, web browsers, and dual/multi‑screen environments to efficiently process and track document workflows.
- Maintain accuracy and productivity while handling high volumes of documents in a fast‑paced environment.
- Lift, move, and organize boxes of documents and paper materials weighing up to 20 pounds.
- Collaborate with business partners to ensure timely and accurate delivery of digitized documents and records.
- Education:
High school diploma or GED. Post‑secondary education and relevant work experience may be combined to satisfy the minimum education and experience requirements. - Experience:
1‑3 years of relevant work experience. - Strong attention to detail and accuracy in document handling.
- Strong analytical, research, and problem‑solving skills with the ability to exercise independent judgment.
- Excellent communication skills and a collaborative approach to problem‑solving.
- Ability to multitask while handling physical documents and working within web‑based applications.
- Ability to work efficiently under time constraints and adapt to changing priorities.
- Commitment to maintaining a positive, professional attitude in a team‑oriented environment.
- Experience with imaging systems and document management tools preferred; training will be provided.
- Working knowledge of Microsoft Office and web‑based applications.
- Visa sponsorship:

Base Pay:
The estimated hourly rate for this role is $19.95 – $27.45 per hour. Compensation may vary based on job‑related knowledge, skills, experience, and geographical work location. Most roles are also eligible for variable pay such as bonus, commissions, and/or long‑term incentives.
Employment Type:
Full‑time, non‑exempt; part‑time options may be available (confirm with recruiter).
