Office Services Coordinator
We are seeking a reliable, service-oriented Office Services Coordinator to support our daily office operations and create an exceptional experience for employees, clients, and guests. Key Responsibilities Office Operations & Facilities Support- Maintain the appearance, organization, and readiness of office spaces, including conference rooms, kitchenettes, workstations, and shared supply areas.
- Set up and break down meeting rooms and common areas for meetings, trainings, events, and client visits.
- Support office moves, floor plan updates, workstation changes, and office improvement projects.
- Troubleshoot and coordinate repairs for office furniture, equipment, and workspace needs.
- Communicate with building management, maintenance teams, and vendors regarding service requests and facility needs.
- Coordinate and support office events, meetings, and employee activities.
- Manage room setup, catering, refreshments, vendor coordination, attendee support, and event cleanup.
- Assist leadership teams with meeting logistics and conference room preparation.
- Support large-scale meetings and events, including room reconfigurations and basic audiovisual assistance.
- Help coordinate on-site and off-site meetings, trainings, client meetings, and stakeholder events.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Prepare outgoing shipments and shipping labels using various carrier services.
- Maintain employee mail distribution lists and mailbox assignments.
- Manage inventory of office supplies, kitchen supplies, toner, and other workplace essentials.
- Ensure supplies are stocked, organized, and readily available across office locations.
- Assist with workstation setup for new employees, including coordination of office supplies and workspace readiness.
- Support employee offboarding by packing workstation items and preparing spaces for future use.
- Process employee badge and professional photos, including uploading information into internal systems.
- Provide front desk coverage as needed, including answering phones, greeting visitors, and supporting guest check-in/check-out.
- Deliver exceptional customer service to employees, clients, guests, vendors, and leadership teams.
- High school diploma or GED.
- Strong organizational, multitasking, and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to work independently with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Professional, customer-focused attitude with a commitment to delivering outstanding service.
- Ability to meet daily deadlines in a fast-paced environment.
- Ability to lift and move packages and office materials weighing up to 50 pounds.
- Previous experience in office administration, office services, facilities support, hospitality, customer service, event coordination, or a related field.
- Experience supporting a corporate office environment.
- Familiarity with office equipment, mail services, and inventory management.

This is a Contract position based out of Minneapolis, MN.
Pay and Benefits:
The pay range for this position is $21.00 - $25.00/hr eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
