What You Do
The Mail Services Representative plays a key role in ensuring timely, accurate, and secure handling of all incoming and outgoing mail for the organization. In a financial services environment—where confidentiality, operational accuracy, and regulatory compliance are critical—you will support business operations by managing mail workflows, coordinating with internal departments, and maintaining high standards of service delivery. As part of the operations imaging team, you will assist with the accurate prep and processing of all incoming new business and service requests.
Responsibilities- Mail processing & distribution:
- Receive, sort, and distribute incoming mail, packages, and courier deliveries in accordance with internal routing procedures.
- Prepare, process, and send outgoing mail—including USPS, Fed Ex, UPS, and other carriers—ensuring accuracy, appropriate packaging, and cost‑effective shipping methods.
- Monitor mailroom equipment (postage meters, inserters, scanners) and ensure proper use and maintenance.
- Handle sensitive financial documents and confidential information in alignment with company policies and industry regulatory requirements.
- Maintain secure handling procedures for documents containing personal identifiable information (PII) and financial data.
- Track and document high value or time sensitive shipments.
- Operational support:
- Assist internal departments with bulk mailings, interoffice deliveries, and special distribution projects.
- Maintain logs, records, and tracking systems for mail volumes, package deliveries, and courier services.
- Identify opportunities to improve mail workflows, increase efficiency, and reduce costs.
- Customer service:
- Provide excellent customer service to internal employees by responding promptly to inquiries, locating packages, and resolving delivery issues.
- Partner with departmental leaders to support operational needs and adjust services as necessary.
- Imaging:
- Sort, prep, scan, and image daily incoming business for all lines of business and submission methods.
- Ensure accuracy with imaging, processing, and data entry.
- Utilization of artificial intelligence tools and resources (e.g., generative AI).
- 2 or more years’ experience in customer service and/or general office work.
- High school diploma.
- Legal authorization to work in the U.S. without requiring immigration sponsorship now or in the future (includes holders of H‑1B, H4, L‑1, L‑2, TN, OPT, CPT, and other non‑immigrant visas).
Base Salary Range: $41,000 - $61,000
Actual base salary may vary based on relevant experience, qualifications, internal equity of peers, and geographic location. In addition to base salary, this position is eligible for an annual incentive program.
