Ronald McDonald House Charities, Upper Midwest (RMHC-UM) in partnership with our community, provides a comfortable and caring home-away-from-home that supports keeping families together and reduces stress during a child’s serious illness or injury. RMHC-UM operates five locations in Minnesota---four in the Twin Cities and one in Duluth, and provides complimentary lodging, meals and support to thousands of families every year.

Job Summary

The RMHC-UM Front Desk & Donation Intake Coordinator serves as a key front-line representative of the organization. Most often, in person or by phone, the Front Desk & Donation Intake Coordinator is the first friendly face that families or visitors see or speak to when they engage with the House. This role assists with a variety of organizational support including answering and directing calls, handling mail, maintaining office inventory, and the accepting and processing of donations.

The Front Desk & Donation Intake Coordinator will interface with all departments and attend to visitors and vendors of all types, such as RMH families, volunteers, staff, donors, Board of Directors, and the public.

Primary Responsibilities Administrative
  • Welcome donors, vendors, families, and volunteers to RMHC-UM.

  • Graciously accept donations of all types.

  • Organize and accurately process donations; fill out proper documentation pertaining to gifts, such as gifts in kind and financial contributions.

  • Communicate regularly with various internal departments to notify the arrival of and moving donations through the organization.

  • Assist in the communication with donors to coordinate drop off times, provide arrival instructions, and offer tours to further donor engagement with the organization.

  • Open, sort and process mail, including documenting and processing gifts.

  • Utilize the donor and volunteer database to look up important information; may also be asked to enter/edit information in support of RMHC-UM Finance, Development, and Volunteer Departments.

  • Track and send out memorial/tribute cards as they come in with donations.

  • Answer the RMH House phones, provide necessary information, and direct calls.

  • Keep space clean, organized, and stocked for meetings and volunteer groups.

  • Assist with event support and preparations as needed.

Programs and Volunteers
  • Assist resident families with UPS, mail, sending faxes, and scanning documents.

  • Support first line of safety measures and protocols such as ensuring/verifying Health and Wellness Screening, Lobby Guard system clearance, and volunteer check-in process.

  • Maintain cleanliness of the donation storage room, welcome desk, and surrounding areas.

  • Supervise volunteers and assist with establishing project lists and priorities.

  • Greet and welcome volunteers to the House; start the check in process using system platforms such as Lobby Guard and Volunteer Hub.

Expected Hours of Work

This is a full-time (40 hour’s a week), on-site, non-exempt position. Hours of work are generally Monday through Friday, 9am to 5pm with minimal opportunity for evening and weekend work due to special events.

Work Environment

This position is based at the Ronald McDonald House-Oak Street in Minneapolis, a 75,000 square foot facility that houses 48 families and contains office space for the Senior Leadership Team, as well as Finance, HR, Facilities, Program, Development, and Volunteer Management staff. RMHC-UM also operates programs inside three pediatric hospitals in the Twin Cities and has a stand-alone facility in Duluth.
