Executive Assistant

In this role, you will provide high-level administrative support to multiple senior executives, enabling efficient execution of business priorities through expert calendar management, travel coordination, meeting planning, communication support, and operational coordination. As a trusted partner to executive leadership, you will help maximize executive effectiveness, prioritize competing demands, and drive organizational alignment. This role reports to the Senior Vice President of Miracle-Ear Franchise.

Compensation:
Based on qualifications we anticipate the hiring range will be $70,000 - $85,000.

Hybrid Work:
We require team members to be in our downtown Minneapolis office three days per week, offering flexibility while fostering in-person collaboration.

Key Responsibilities:

  • Manage complex calendars, scheduling, and prioritization for multiple senior executives in a fast-paced environment.
  • Proactively align executive time and activities with strategic priorities, business objectives, and leadership commitments.
  • Prepare executives for meetings by coordinating agendas, materials, logistics, and action-item follow-up.
  • Coordinate complex domestic and international travel arrangements, including itineraries, accommodations, and transportation.
  • Plan and support leadership meetings, off-sites, and corporate events while partnering with internal teams to ensure seamless execution.
  • Serve as a key liaison for executive interactions and stakeholder coordination.
  • Manage executive expense reporting, purchase orders, invoice coordination, and vendor payment processes.
  • Draft and coordinate executive communications, presentations, correspondence, and meeting materials while maintaining strict confidentiality.
  • Partner cross-functionally with Finance, HR, Legal, Operations, and other stakeholders to support leadership initiatives and office operations.

Must-Have

Qualifications:

  • Associate's degree or equivalent combination of education and relevant administrative experience.
  • 7+ years of experience supporting multiple senior executives in a complex, fast-paced corporate environment.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Teams, PowerPoint, Word, Excel, SharePoint, and CoPilot.
  • Experience using ERP, procurement, and expense management systems (e.g., Oracle, Concur, SAP, Emburse).
  • Experience managing executive calendars, travel coordination, expense reporting, and financial processes such as purchase orders and invoice management.
  • Strong organizational, prioritization, written communication, and relationship-management skills.
  • Ability to handle highly confidential information with professionalism, discretion, and sound judgment.
