Operations Coordinator
The Operations Coordinator provides support to the Director of Administration in carrying out office initiatives that enhance firm member performance and guest and employee experiences.
This role is designated for a hybrid work schedule with four days in office per week to facilitate collaboration with key stakeholders and one remote day per week.
Essential duties include overseeing event logistics and serving as on-site support for all Minneapolis office events, collaborating on venue selection, leading decisions related to event logistics, contacting and consulting with vendors/venues, overseeing hospitality staff at Minneapolis office events, managing inventory ordering, stocking, and cost containment, supervising office change-overs, assisting in managing operations budget, managing firm notary application and renewal processes, reconciling and processing invoices and reimbursements, responding to emails, voice messages, and follow up communications in a timely manner, and completing other duties as requested.
Competencies include client service know-how, good judgment, organizational expertise, attention to detail, time management skills, flexibility, analytical thinking, professionalism, and being a team player.
Supervisory responsibilities involve direct supervision of the Hospitality and the Facilities teams.
Knowledge and skills include delivering outstanding client service with a can-do attitude, excellent verbal communication skills, working independently, strong time management skills, being highly organized with an aptitude for problem solving, using initiative and independent judgment within established guidelines, prioritizing workloads appropriately, exercising discretion with confidential, controversial, or sensitive information, demonstrating a high degree of professionalism, working well under pressure and within tight deadlines, and proficiency in Word, Outlook, and Excel.
Education and experience require 5+ years' service industry experience, with an Associate's or Bachelor's degree in a customer service field desired, and prior legal industry experience preferred.
Physical demands include regular verbal, in-person, and written communication, ability to move/traverse about the office, operating computer and other office equipment, remaining in a stationary position for long periods of time, repetitive movement, and occasional lifting.
The hourly pay rate for this position is $30.76 - $33.33 per hour, depending on experience. This is a non-exempt position eligible for overtime. Actual pay will be adjusted based on experience and other job related factors permitted by law.
