Overview
The On-Site Services Specialist supports daily document services, mail, shipping, office, and facility operations. The role includes operating high-volume copy and document imaging equipment, preparing and binding books, packaging shipments, making coffee, cleaning kitchens, and providing customer support. This position requires punctuality, strong attention to detail, and the ability to perform both physical and office-based tasks.
Responsibilities
Operate high-volume copy machines, printers, scanners, document imaging systems, and document image handling software.
Perform copying, binding, finishing, book binding, packaging, and other document production tasks.
Operate shrink-wrap machines, paper cutters, hole drills, bindery equipment, joggers, tape machines, stackers, electric staplers, scales, fax machines, postage meters, calculators, and PCs.
Use MS Office and email systems to open, send, retrieve, save, and transfer files according to established protocols.
Access document management systems and maintain files according to established procedures.
Inspect convenience copiers for quality, clear paper jams, and report equipment issues to technicians.
Maintain daily meter and service logs, inventory records, management reports, billing logs, and supply records.
Distribute office supplies, mail, fax transmissions, and completed jobs to designated locations.
Sort, process, and handle incoming and outgoing mail and apply necessary postage.
Ship and receive materials and prepare and package shipments.
Calculate charges for completed jobs and maintain billing information.
Respond to customer questions regarding job status or feasibility and coordinate service calls.
Deliver completed jobs to predetermined customer locations within and outside the site.
Maintain clean, neat, and well-stocked copier areas.
Perform filing, document purging, and archiving duties.
Perform meeting and conference room setup and breakdown as required.
Perform building occupant moves and other building support functions.
Perform light maintenance, re-lamping, housekeeping, kitchen cleaning, and coffee-making duties as needed.
May travel between customer buildings as required.
May work occasional nights, weekends, overtime, or off-hour emergency response.
Perform other duties as assigned.
Requirements
High school diploma/GED and 1 2 years of related experience, or equivalent experience.
Related copy/document services experience preferred.
Excellent customer service and communication skills.
Good PC, organizational, mathematical, filing, and prioritization skills.
Ability to operate office machines and technical equipment.
Strong attention to detail and punctuality.
Ability to lift up to 40 lbs.
Ability to stand and walk for extended periods and perform bending, reaching, stretching, and similar activities.
Position includes both sitting and physical activity throughout the workday.
Business casual dress code; tennis shoes permitted if they are not bright colors.
