Join a mission-driven team supporting a prominent federal law enforcement agency. We are seeking a Legal Administrative Coordinator who will serve as the first point of contact for visitors, callers, and legal professionals. This role requires exceptional professionalism, discretion, and reliability. The ideal candidate thrives in structured, fast-paced federal environments and brings strong experience in legal administrative support.
Key Responsibilities- Prepare form letters, mailings, and routine correspondence.
- Manage front desk operations: retrieve voicemail messages, answer calls and doors, and assist visitors.
- Escort all visitors, service personnel, and maintenance contractors as required.
- Process incoming and outgoing mail: retrieve, open, stamp, deliver, and prepare outgoing mail.
- Collect and deliver inter office mail between the client and the Clerk’s Office.
- Process courier deliveries and assist with large mailouts.
- Maintain mailroom supplies and coordinate service calls for mailroom equipment with contracting officer approval.
- Receive and verify supply orders; report discrepancies and store supplies appropriately.
- Maintain organization of office areas including lobby, interview rooms, conference rooms, task force rooms, trial prep rooms, visiting attorney offices, and copy areas.
- Manage calendars: reserve parking cards, government vehicles, meeting rooms, and assist with attorney calendar entries.
- Support document production: receive returns via USAfx or paper, download, upload, scan, save, log, and notify appropriate parties.
- Copying and labeling discs; print weekly indictment packets and bind briefs.
- Assemble exhibits, affidavits, and legal documents; prepare binders of motions, affidavits, and orders.
- Assist with trial and significant hearing preparation.
- Maintain and publish weekly District Court Duty and Criminal Duty Memo.
- Review and produce a variety of legal and non-legal documents using multiple software applications.
Required:
- High school diploma or equivalent.
- Minimum 2–3 years of experience as a Legal Assistant, Paralegal, or Administrative Professional in a legal environment.
- Proficiency in Microsoft Office Suite, Adobe Acrobat Professional, and database systems.
- Ability to review and analyze legal documents including motions and briefs.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage sensitive information with confidentiality and professionalism.
- Demonstrated ability to meet deadlines, manage multiple tasks, and work effectively in a team-oriented environment.
- Associate or bachelor’s degree in a relevant field.
- Paralegal Certification.
- Experience working within a federal or government setting.
- Must be eligible for a Minimum Background Investigation (MBI) waiver conducted by the federal client.
- Must meet federal residency requirements:
lived in the U.S. for at least 3 of the last 5 years
