Position Summary
The Practice Operations Coordinator plays a vital role in supporting the day-to-day operations and long-term growth of Ascent Wealth Management. This hybrid position combines responsibilities in insurance case management, marketing support, Salesforce/CRM administration, and overall practice operations. The Practice Operations Coordinator ensures that client service tasks, business development opportunities, and internal workflows are properly coordinated by engaging the appropriate team members. This roleis central to ensuring the firm runs smoothly, clients receivetimelyservice, and advisors can focus on client relationships.
ResponsibilitiesAct as the primary liaison with insurance carriers, handling applications, underwriting follow-ups, and policy service.
- Monitor and track client service tasks and business opportunities, ensuring that they are assigned to and completed by the appropriate team members.
- Support marketing initiatives, including content preparation, campaign coordination, and event logistics.
- Manage Salesforce/CRM processes, including data integrity, workflows, reporting, and task assignments.
- Coordinate with Senior Advisors, Associate Advisors, and Paraplanners to ensuretimelycompletion of client service deliverables.
- Assist with onboarding new clients andmaintainingaccurateclient records.
- Prepare and distribute client communications, statements, and other materials as needed.
- Identify opportunities to improve internal processes and enhance the client experience.
Bachelor’s degree in business, finance, marketing, or related field preferred.
- 2+ years of experience in financial services, insurance, operations, or marketing support.
- Familiarity with insurance products and casemanagementa plus.
- Proficiency in Salesforce (or comparable CRM), Microsoft Office, and marketing tools.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Team-oriented mindset with the ability to coordinate and hold others accountable.
