In the Construction Project Coordinator role, you'll be the operational hub that keeps our Architectural Interiors (MOD Team) projects on schedule, budgets on track, and communication flowing between our project teams, subcontractors, general contractors, accounting, design, and field crews. We're looking for someone who is highly organized, detail-oriented, and enjoys keeping multiple moving pieces aligned. RequirementsWhat You’ll Do:
- Schedule and coordinate construction site meetings and project activities.
- Maintain accurate project schedules and timelines within Airtable.
- Coordinate site measures, including travel arrangements and logistics.
- Work closely with subcontractors to ensure site measures occur at the appropriate project milestones.
- Maintain project calendars and proactively obtain construction schedules from General Contractors.
- Partner with internal project leaders to ensure qualified crews are scheduled and projects stay on track.
- Prepare and maintain project documentation, including Hold-To Documents and Change Order Budget Management documents.
- Keep project records, schedules, and documentation accurate and current.
- Support day-to-day administrative functions that contribute to successful project delivery.
- Track project budgets, labor hours, and change orders.
- Coordinate subcontractor documentation and required paperwork.
- Partner with Accounting to ensure accurate and timely billing and invoicing.
- Assist with monthly billing deadlines and budget management activities.
- Coordinate subcontractor onboarding and compliance documentation.
- Schedule project logistics, including:
- Parking and building access
- Elevator reservations
- Site-specific training
- Safety plans
- Other project requirements
- Ensure required documentation is completed and maintained throughout the project lifecycle.
- Work closely with Design, Project Management, Accounting, Operations, subcontractors, and General Contractors.
- Assist Design with research related to customer-owned material (COM) hardware.
- Serve as a key communication resource to help projects run efficiently from start to finish.
- Experience in construction project coordination, construction administration, project management support, or a related field.
- Strong organizational, planning, and time management skills.
- Ability to manage multiple projects and competing priorities simultaneously.
- Excellent communication and relationship-building skills.
- Strong attention to detail with effective problem-solving abilities.
- Experience with project scheduling or project management software (Airtable is a plus).
- Proficiency with Microsoft Office Suite.
