The Special Events Assistant supports on-site operations and coordinates with the Edinburgh Events Supervisor to ensure events run smoothly on the day of. This seasonal position offers hands‑on experience in leading and coordinating special events such as weddings, golf outings, fundraising galas, community celebrations, and other special occasion gatherings.

Responsibilities
  • Support on‑site operations for each special event.
  • Uphold standards and regulations for vendors and customers (including food safety, rules and regulations).
  • Communicate respectfully and transparently with event attendees and vendors, and resolve any disputes between constituents.
  • Set up and take down events, including moving tents, tables, chairs, and other equipment.
  • Monitor room temperatures, janitorial supplies, and building cleanliness. Occasional snow and ice maintenance may be required.
  • Coordinate with vendors and caterers to describe expectations, facility use details, and departure checklist.
  • Lock or unlock a facility and operate lights, preparing the facility for events.
  • Ensure a safe and healthy work environment and conduct all activities safely.
  • Perform other duties as assigned.
Education & Credentials
  • High‑school diploma or equivalent.
  • Current driver’s license by the start date.
Experience, Knowledge, Skills & Abilities
  • Experience in special events or customer service.
  • Excellent communication and public‑relations skills.
  • Ability to work cooperatively with other employees.
  • Create an inclusive and supportive environment for all participants.
  • Facilitate communication with multiple vendors, event hosts, and staff.
  • Ability to replace janitorial bathroom supplies.
  • Establish and maintain positive working relationships with peers, participants, and the public.
  • Write basic reports and office correspondence.
  • Fluent in English (spoken and written).
  • Identify and solve practical problems and manage a variety of situations.
  • Work outdoors for long periods in all weather and temperature extremes.
  • Lift and carry up to 30 lbs.
  • Provide customer service that meets or exceeds expectations.
  • Work effectively with people from diverse cultural, socioeconomic, racial, and ethnic backgrounds.
Desired Qualifications
  • 6 months or more experience delivering special events or facilities.
  • One‑year experience in recreation, event planning, human services, community social work, volunteer management or public health.
  • CPR, AED and First‑Aid certification.
  • Experience working with diverse populations.
  • Fluency in Spanish, Hmong, Russian, Somali, Lao or Vietnamese.
Background Check

The City may require a criminal background check and/or qualifications check for this position. Applicants must sign an informed‑consent form allowing the City to obtain their criminal history and/or verify their qualifications; those who decline will not be considered.

Work Schedule & Compensation

Up to 20 hours per week, available weekends. Shifts may range from 5:45 a.m. to 12 p.m., 12 p.m. to 5 p.m., 4 p.m. to 12 a.m. Wage: $15.30–$19.67 depending on qualifications. Anticipated start date:
May/June 2026 (flexible).

Physical Demands & Work Environment
  • Work in indoor and outdoor settings, including office or meeting spaces, the club house, and event venues.
  • Extended periods of sitting, standing, and moving around.
  • Lift objects up to 30 lbs.
