About the Job
This position serves as a senior financial leader providing comprehensive fiscal management, reporting, and strategic financial guidance for the Medical School, including Duluth departments and Medical School Institutes and Centers (MSIC) operations. The role oversees complex budget models, endowment and foundation funds, allocation methodologies, grants post‑award management, accounts receivable, payroll and salary planning, and institutional reporting. The incumbent partners closely with department heads, center directors, campus leadership, and central offices to ensure financial integrity, compliance, transparency, and long‑term financial sustainability across a diverse portfolio of funding sources.
Job Duties / Responsibilities 40%:Financial Strategy, Budgeting, and Institutional Planning
- Lead development, reconciliation, and monitoring of multi‑fund financial plans for the Duluth departments and MSIC.
- Develop payroll forecasts, salary distributions, and faculty compensation planning in collaboration with leadership.
- Partner with department heads, center directors, and campus leadership to develop spending plans, forecast revenue, and recommend financial strategies or cost‑containment measures as needed.
- Oversee post‑budget adjustments, rebudgeting, and financial transfers.
- Participate in strategic planning discussions and financial stability initiatives at the campus and school level.
Financial Reporting, Analysis, and Compliance Oversight
- Produce and reconcile quarterly and annual financial reports across all funds, including variance reporting, faculty P&L, sponsored activity, and salary support reporting.
- Develop automated and ad hoc financial reports using institutional reporting systems to support leadership decision‑making.
- Monitor UMF and CEF balances, endowment activity, and compliance, serving as liaison to the University of Minnesota Foundation and central accounting units.
- Provide financial policy interpretation and compliance guidance to departments and leadership.
Operational Finance, Grants, and Revenue Activities
- Oversee accounts receivable activity, billing processes, ITN management, journal approvals, and reconciliation of complex chart strings.
- Provide post‑award financial management for sponsored projects and centers, including effort coordination, sub‑award coordination, and grant modifications.
- Manage external sales, ISOs/ESOs, rate development, subsidy analysis, depreciation entries, and operating profitability reviews.
- Maintain and reconcile payroll and salary databases; review payroll reports and approve hiring and salary transactions.
Leadership, Collaboration, and Institutional Service
- Provide functional leadership, supervision, and mentorship to finance staff, serving as a resource for complex financial and compliance questions.
- Represent the unit in finance leadership meetings, university‑wide committees, and cross‑campus collaborations.
- Serve as a backup and escalation point for critical finance functions to ensure continuity of operations.
Required Qualifications
- BA/BS degree plus at least eight years of experience.
- Progressively responsible experience in financial management, budgeting, reporting, or accounting within a complex organization.
- Demonstrated experience managing multiple funding sources (e.g., core budgets, sponsored funds, endowments, auxiliary or external revenue).
- Strong analytical, reconciliation, and financial reporting skills.
- Proven ability to interpret policy, ensure compliance, and advise leadership on financial implications.
- Experience collaborating with senior leaders and diverse stakeholders.
- Advanced degree in finance, accounting, business administration, or a related field.
- Experience in higher education, academic medicine, or a similarly complex institutional environment.
- Experience with enterprise financial systems, sponsored project administration, and foundation or endowment management.
- Demonstrated people leadership or team‑based supervisory experience.
