The Assistant Controller provides direct support to the Controller related to the maintenance of a complete and accurate general ledger, month/year‑end close, and the generation of accurate and timely financial statements, analysis and various reports for management decision making. The position coordinates the administration of the day‑to‑day finance/accounting operations, ensuring deadlines are met and maximizing the use of technology to ensure efficient processes while maintaining strong internal controls.
This position ensures accurate and efficient processing of all expenditures and restricted initiative budgets along with continuous improvement of process.
- Maintenance of a complete and accurate general ledger as related to all expenditures including accounts payable, credit cards and the Early Learning Scholarship program payouts.
- Coordinates the administration of day‑to‑day finance/accounting operations working collaboratively with organizational managers to ensure timely, accurate capture of financial data.
- Ensures assigned balance sheet reconciliations are complete and accurate ensuring assets are safeguarded.
- Audits workflow to ensure that all accounting transactions are processed accurately and in compliance with United Way and general accounting principles.
- Works closely with Controller in developing key performance indicators, trend analyses, and analytical reporting summaries for management utilizing these tools to assist in preparation of the annual budget.
- Assists in preparation of annual audited financial statements, supporting footnotes, variance analysis.
- Compiles information for foundation and grant reporting.
- Works in support of continuous improvement through recommendations to and updates of the Finance Department’s policies and procedures, including documentation of job processes and internal control processes.
- Serves as a consultative finance resource to the organization demonstrating a strong service orientation.
- Oversees all aspects of accounts payable, credit card processing, grant distributions and vendor maintenance.
- Processes incoming miscellaneous payments for weekly posting to the general ledger.
- Compiles weekly specialized reports for various departments to maintain updated records to departments outside of accounting.
- Assist with tracking, monitoring, and reporting on government grants, including recording related journal entries and ensuring compliance with applicable requirements.
- Reviews and processes all Accounts Payable banking exceptions on a daily basis.
- Manages non‑annual pledges and payments, including reviewing for processing and maintaining related documentation for initiative funds.
- Leads financial reporting and budget development for fiscally sponsored programs and organizations, including preparation and issuance of invoices for related activities.
- Supervises assigned staff, provides orientation and training, assesses workload and delegates to appropriate degree and level.
- Meets regularly with assigned staff and provides coaching and mentoring to increase performance to optimal levels.
- For assigned staff, manages performance process, including the setting of goals and objectives and the preparation of performance appraisals.
