Divisional Accountant – Midwest Division

The Divisional Accountant plays a critical role in maintaining the financial integrity of construction projects by managing job cost tracking, billing, forecasting, and financial coordination. This position serves as a key liaison between operations and corporate finance, ensuring accurate reporting and compliance across all financial touchpoints within the division.

Project Setup & Controls
  • Set up new projects and change orders in Viewpoint (VP), ensuring accuracy and compliance with company standards before the system interface.
  • Perform quality control checks on all project entries, including purchase orders, subcontracts, bid recaps, and proposal documentation.
  • Establish and maintain accurate project budgets and forecasts, updating monthly or as schedules change.
  • Process internal and external change orders, including corresponding job cost adjustments.
Job Costing & Financial Maintenance
  • Conduct monthly job cost maintenance and hard close completed projects in VP.
  • Assist with job cost analysis to identify variances, cost overruns, or miscodings; report significant issues to the Project Manager (PM), Operations Manager (OM), or General Manager (GM).
  • Ensure completeness and accuracy of job cost data, including alignment with accounts payable (AP) and project cost estimates.
Billing & Accounts Receivable
  • Prepare monthly billing documents including Schedule of Values (SOV), special billing forms, and payment terms.
  • Communicate billing requests to the Sr. Billing and Collections Specialist via VP.
  • Manage AR collections by coordinating with accounting and following up on billings over 60 days and retention amounts.
Accounts Payable Oversight
  • Review and approve project-related invoices; coordinate with AP to make necessary corrections.
  • Monitor invoice status and ensure PMs are regularly reviewing and approving or rejecting invoices.
  • Validate AP activity against project cost estimates for accuracy and completeness.
Forecasting & Compliance
  • Move project forecasts in VP based on schedule updates received from General Contractors.
  • Request and track monthly GC schedule updates and update MPS sheets for labor compliance.
Cross-Departmental Collaboration
  • Serve as a key contact between the division and GM, OM, PMs, the divisional purchasing agent, and corporate finance.
  • Coordinate with the purchasing agent to ensure timely and accurate procurement activity.
  • Schedule and attend regular project forecast reviews with PMs to maintain accuracy in cost tracking and billing timelines.
Additional Responsibilities
  • Support project closeout documentation and ensure all financial activities are reconciled before closure.
  • Issue purchase orders when necessary to support project and operational needs.
  • Maintain adherence to financial and operational procedures.
  • Perform additional tasks as required by leadership to support divisional accounting operations.
Requirements
  • Minimum of 2 years of accounting work experience is required; experience as a Project Accountant within the Construction industry is preferred but not required.
  • Requires prior knowledge or training in Viewpoint (VP).
  • Strong technical and organizational skills in addition to excellent written and verbal communication.
  • A high level of integrity, accuracy, dependability, enthusiasm, and confidentiality.
  • Ability to update job knowledge by participating in educational opportunities.
