The Controller & HR Manager is an in-office position responsible for overseeing the company's accounting operations, monthly and quarterly financial close processes, job costing, payroll administration, employee benefits management, human resources administration, and regulatory reporting. This position ensures the accuracy of financial records, compliance with federal and state requirements, and provides financial and operational support to management.

Essential Duties and Responsibilities Accounting and Financial Management Monthly Financial Close
  • Reconcile all company bank and financing accounts
  • Complete account reconciliations by the 15th of each month.
  • Reconcile all company credit card statements, including:
  • Run and reconcile Accounts Payable reports to the balance sheet.
  • Run and reconcile Accounts Receivable reports to the balance sheet.
  • Review and adjust prepaid expense accounts as necessary.
  • Prepare and post journal entries and accruals as required.
  • Maintain the general ledger and supporting schedules.
Job Costing and Project Accounting
  • Run job profitability and status reports for projects closed during the prior month.
  • Initiate project closeout procedures on the 1st of each month for qualifying jobs.
  • Analyze timekeeping reports and reclassify labor costs when appropriate.
  • Ensure all project-related costs are accurately captured and reported.
Commission Administration
  • Calculate and record sales and project commissions.
  • Maintain commission schedules and supporting documentation.
Management Reporting

Prepare and distribute management reporting packages, including:

  • Check Register
  • Payroll Summary
  • Balance Sheet
  • Budget-to-Actual Reports
  • Distribute Budget-to-Actual reports to department managers.
  • Assist management with budgeting, forecasting, and financial analysis.
Payroll Administration
  • Process payroll accurately and on schedule for all employees.
  • Maintain payroll records, earnings, deductions, garnishments, and employee changes.
  • Review and reconcile payroll reports and payroll-related general ledger accounts.
  • Ensure compliance with wage and hour laws and payroll regulations.
  • Coordinate year-end payroll processing, including W-2 preparation and distribution.
  • Reconcile payroll liabilities and ensure timely remittance of payroll taxes.
Benefits Administration
  • Administer employee benefit programs including health insurance, dental, vision, retirement plans, life insurance, and other company-sponsored benefits.
  • Manage employee enrollments, changes, terminations, and annual open enrollment processes.
  • Serve as the primary liaison with insurance brokers, benefit providers, and retirement plan administrators.
  • Reconcile benefit invoices and ensure accurate payroll deductions.
  • Maintain benefit records and ensure compliance with applicable regulations.
  • Assist employees with benefit questions and claims issues.
Human Resources Administration
  • Coordinate employee onboarding and offboarding processes.
  • Maintain personnel files and employee records in compliance with company policies and legal requirements.
  • Assist with recruitment activities, job postings, candidate coordination, and new hire documentation.
  • Maintain employee handbooks, policies, and HR documentation.
  • Track employee leave, PTO balances, and attendance records.
  • Support employee relations initiatives and management requests.
  • Ensure compliance with federal, state, and local employment regulations.
Payroll Tax and Regulatory Compliance
  • Prepare and file quarterly federal and state payroll tax returns.
  • Complete payroll-related filings by the required deadlines.
  • Reconcile payroll tax liabilities and payments.
  • Coordinate annual tax reporting requirements.
  • Respond to payroll tax notices and agency inquiries.
  • Ensure compliance with all applicable payroll, labor, and tax regulations.
Qualifications
  • AAS Degree in Finance, Human Resources, Business Administration, or related field preferred.
  • Minimum 5 years of progressive accounting experience; construction or project-based accounting experience preferred.
  • Experience with payroll processing, benefits administration, and HR functions.
  • Strong understanding of GAAP, job costing, payroll accounting, and financial reporting.
  • Experience with Quick Books, payroll systems, and Microsoft Excel.
  • Understanding of AI automation, workflows, and data security.
  • Knowledge of federal and state payroll tax regulations and employment laws.
  • Excellent analytical, organizational, and communication skills.
  • Ability to maintain confidentiality and handle sensitive information.

  • Profit Based Bonus: $0 - $100k = 1%, $100k - $200k = 3%, $200k - $300k = 5%, $300k - $400k = 7%, $400k - $500k = 9%, $500k - $600k = 11%.Example
