Summary of the Job
The primary responsibility of this role is to provide comprehensive support to both the Issuance Specialist and CD Specialist through a variety of task‑driven duties. The candidate will manage a dynamic workload, ensuring precision in all work products and enabling the Specialists to operate efficiently.
Key Responsibilities- Draft preliminary deal documents for the Issuance Specialist, including distribution lists, contracts, closing memorandum templates, wire calculation forms, and review related legal documents.
- Manage select bond transactions (Minnesota and Iowa) independently; collaborate with Analysts to coordinate new issues with bond attorneys and verify all statutory and regulatory requirements before bond sales.
- Prepare and draft all preliminary documents associated with bond transactions.
- Serve as the primary liaison among attorneys, issuers, and internal teams throughout the bond issuance process, facilitating communication to ensure successful bond sales and closings.
- Calculate and confirm wire amounts for bond closings; coordinate execution of closing documents with legal counsel.
- Write and distribute the final closing memorandum to all relevant parties.
- Review all legal documents associated with the transaction, such as resolutions, closing documents, lease documents, bond purchase agreements, and legal opinions.
- Facilitate and manage bond closings on the designated closing dates.
- Maintain accurate books and records related to bond issues and ensure all parties have signed off.
- Support Analysts and Continuing Disclosure tasks by managing County Auditor Certificate requests, communicating with counties, preparing letters and forms, filing returned documents, and tracking responses and invoices.
- Handle invoice requests from Bankers and the Issuance Specialist for new bonds or professional services; collaborate with accounting to generate invoices and email them to relevant parties.
- Proofread, format, and assemble reports, forms, and client‑facing materials; prepare and/or analyze complex financial reports.
- Serve as a point of contact for clients and colleagues, ensuring professional and timely communication.
- Perform general department organization, including database updates and supporting project workflows (issuer request workbook, shared contacts, public finance records, CD tracking, Salesforce entries).
- 2+ years of relevant experience in Public Finance, paralegal work, and administrative support.
- Strong foundation in the complexities of Issuance Specialist and CD Specialist roles.
- Demonstrated efficient task management, high attention to detail, and ability to navigate regulatory or legal documentation.
- Experience in document preparation, deal management, coordination among multiple parties, and management of financial and legal documentation.
- Unrestricted work authorization; no future sponsorship required.
- Position requires FINRA registration.
- Must meet applicable financial industry responsibilities, regulatory requirements, credit fitness, and criminal background standards.
- Must satisfy ongoing regulatory requirements, including acceptable background investigation, credit report, and fingerprinting results.
