We’re looking for a confident, friendly, and highly organized Orthodontic Treatment Coordinator to lead patient consultations, guide families through the treatment journey, and help drive case acceptance through excellent communication and relationship-building.
What You’ll Do (Key Responsibilities)As our Treatment Coordinator, you’ll play a major role in helping patients and parents feel informed, excited, and confident about starting orthodontic treatment.
Responsibilities include:
Patient Consultations & Case Presentations
- Welcome new patients and guide them through their consult experience
- Present treatment plans and orthodontic recommendations clearly and confidently
- Explain treatment options in a way patients and parents can understand
- Build rapport and trust with families (this is HUGE)
Financial & Insurance Coordination
- Review fees, payment options, and financing plans
- Help families choose a payment plan that works for them
- Coordinate insurance benefits and explain coverage in a simple way
- Collect deposits and assist in finalizing treatment agreements
Scheduling & Treatment Start Coordination
- Schedule starts and coordinate with clinical team
- Ensure all paperwork is complete and patients are ready to begin
- Follow up with patients who don’t schedule right away
Communication & Follow-Up
- Proactively follow up with patients who are deciding
- Track leads, consult conversions, and keep notes organized
- Communicate clearly with doctors and team regarding patient decisions
- Support marketing and referral opportunities (when applicable)
