Lead Support Specialist-Front Desk Associate, Housing — Lead operational coverage for front desk and support duties, balance desk responsibilities with floating support, onboarding assistance, scheduling coordination, and quality assurance across desks. Maintain a safe, professional, resident-centered environment while ensuring consistency and effective communication.

Responsibilities
  • Actively monitor site activities.
  • Ensure program participants follow all rules and regulations.
  • Enforce safety and security of the building at all times.
  • Complete administrative duties: answer phone calls, respond to emails, assist with maintenance request forms, schedule meetings, process mail, and other necessary tasks.
  • Maintain security, safety, and sanitation of the facility in accordance with policy and laws; conduct regular rounds.
  • Explain program rules and building policies to participants and visitors.
  • Maintain ethical practices and professional boundaries; maintain a daily log and incident reports; protect client confidentiality.
  • Respond to emergencies and contact emergency services as needed.
  • Provide guidance and informal support to participants; act as liaison with Case Managers and ongoing contact for participants.
  • Participate in staff meetings, trainings, and other professional development activities.
  • Provide internal and external resources to participants and visitors as requested.
Schedule & Coverage Structure
  • Desk Coverage: Three scheduled days per week at the desk; standard desk hours 8:00 AM – 4:00 PM.
  • Floating / Support Coverage: Cover call-outs, support other desks, attend meetings, and complete lead-related tasks; floating days may overlap with second shift when possible (example: 9:00 AM – 5:00 PM).
  • Specific days depend on staffing patterns and operational needs.

Note:

Schedule Creation & Coordination, Onboarding & Training Support, Desk Audit & Operational Support, Desk Coverage for Meetings, Special Projects & Program Support, and related duties are included as part of the role.

  • Schedule Creation & Coordination: maintain and adjust desk schedules; plan for vacancies, call-outs, and time-off; communicate updates to staff.
  • Onboarding & Training Support: assist with onboarding of new staff and desk processes; provide hands-on training and shadowing; serve as a desk operations resource.
  • Desk Audit & Operational Support: audit desk operations; review rosters, trespass forms, inventory and ordering; observe workflows and identify improvements; provide real-time coaching.
  • Desk Coverage for Meetings: ensure front desk continuity during meetings; attend meetings and relay takeaways to desk staff; assist with incident report completion and submission.
  • Special Projects & Program Support: assist with projects such as lobby organization, process improvements, and other time-limited initiatives; collaborate with Connection Center supervisor and provide leadership to desk staff.

Other duties may be assigned as program needs evolve.

Qualifications

Required:

  • High School Diploma/GED
  • One year free of problematic substance use

Preferred:

  • Reliable vehicle to transport across sites during floating shifts
  • BA/BS in human services or related field preferred
  • Experience with substance use treatment, criminal justice, or related field preferred
  • Clear and professional communication skills (oral and written)
  • Ability to relate to people from diverse backgrounds with multiple barriers
  • Leadership skills and ability to work with minimal supervision
  • Positive and supportive presence with professional, person-centered care
