Pride Staff is working with a manufacturing facility in search of an experienced Purchasing Specialist. The Purchasing Specialist will be responsible for managing purchasing and inventory control activities to ensure the timely availability of raw materials, excipients, and packaging components. The Purchasing Specialist will play a key role in ensuring that materials are purchased on time, accurately tracked, and managed under strict cGMP and 21 CFR Part 111 compliance standards.
The ideal Purchasing Specialist has multiple years of experience in materials coordination or supply chain operations, preferably in a dietary supplement, food, pharmaceutical, or cGMP-regulated environment, and demonstrates excellent organization and communication skills.
Job Responsibilities
- Place, Track, & Confirm Purchase Orders for Raw Materials, Excipients, and Packaging Supplies
- Communicate With Approved Vendors to Confirm Lead Times, Negotiate Pricing, and Resolve Delivery Issues
- Maintain Supplier Documentation Including Certificates of Analysis (COAs), Specification Sheets, and Qualification Records
- Monitor ERP/MRP Systems for Inventory Levels, Reorder Points, and Production Requirements
- Conduct Routine Cycle Counts & Reconcile Discrepancies to Maintain Inventory Accuracy of 97%
- Manage Lot Traceability, FIFO/FEFO Inventory Practices, and Disposition of Expired or Obsolete Materials
- Ensure All Purchasing, Inventory, and Warehouse Activities Comply With 21 CFR Part 111 and FDA Dietary Supplement Regulations
- Support Internal & External Audits by Maintaining Complete, Accurate, and Audit-Ready Documentation
- Generate Weekly Reports on Inventory Status, Purchasing Activity, Supplier Performance, and Material Readiness
- Recommend Improvements to Warehouse Flow, Inventory Systems, Staging Processes, and Purchasing Efficiencies
- Collaborate With Production, Quality Assurance, and R&D Departments to Align Material Availability With Operational Needs
Job Requirements & Working Conditions
- High School Diploma or Equivalent Required;
Degree or Certification in Supply Chain Preferred - 2+ Years of Experience in Purchasing, Materials Coordination, or Inventory Control Required
- Strong Knowledge of Dietary Supplement, Food, Pharmaceutical, or cGMP-Regulated Industries Strongly Preferred
- Proven Proficiency With ERP/MRP Systems and Microsoft Excel or Google Sheets Required
- Demonstrated Ability to Maintain High Performance Metrics (98% PO Accuracy, 95% Supplier OTIF)
- Strong Organizational, Communication, and Problem-Solving Skills With Strict Attention to Detail
- Ability to Prioritize Tasks and Manage Material Readiness in a Fast-Paced Manufacturing Environment
- Have Consistent Punctual Attendance is Required
- Must be 18+ Years Old
- Must be Willing to Submit to a Pre-Employment Background Check
- Must be Willing to Submit to a Drug Screen
