Position Overview:

The Faculty Affairs Manager is an accomplished leader and project manager, providing strategic and operational guidance for initiatives impacting 5,000+ faculty across the Medical School. The Faculty Affairs manager is responsible for administrative management in support of faculty and staff awards for internal and external nominations, faculty hiring, appointments and onboarding, faculty governance, confidential documentation, and communications for office program offerings.

Job Duties /Responsibilities:

40%:
Faculty Life and Appointments

* Manage the faculty appointment and approval processes, including faculty hiring and appointments; memoranda of understanding; dual appointments; phased retirements; track transfers; leaves; annual appraisals and reviews; and emerita requests.

* Partner with departmental human resources teams on hiring process improvements, alignment and hiring compliance issues.

* Provide consultation on requests for non-standard, complex faculty appointments.

* Manage the faculty offer letter process for compliance.

* Strategically plan, implement, and manage the process for requesting and approving all faculty at affiliate sites (unpaid faculty), adjunct faculty, and community instructors, including tracking, reappointment, and annual reviews and annual reporting.

* Develop, execute, and advise in strategic planning to improve the faculty experience. Facilitate and lead implementation of faculty and leadership retention initiatives.

* Manage and facilitate new faculty orientation workshops and follow up engagement.

* Oversee and manage the OFA website, monthly newsletter, and annual report.

20%:
Governance, Policies and Procedures

* Manage the Medical School governance committees and processes. Serve as subject matter expert and provide consultation for other Medical School governance committees.

* Ensure that the work of the Medical School governance committees and councils are effectively carried out.

* Strategically advise Medical School faculty and staff governance leaders and University partners on governance issues as appropriate.

* Develop and implement annual committee chair and new senator orientation and support effective faculty governance leadership transitions.

* Serve as administrative staff to the Faculty Assembly, Faculty Advisory Council (FAC), and the Appointments, Promotions, and Tenure Council (APTC), including liaising between the committees, the Senate Office, and other central and collegiate administrative offices, developing agendas in consultation with chairs, drafting correspondence, minutes, and reports as needed.

* Develop and maintain process documentation, policies, and procedures.

35%:
Faculty and Staff Awards and Nominations

* Implement and oversee the end-to-end lifecycle of awards, honors, and endowed professorships for selected school, institutional, national, and international awards, and endowed professorships and chairs nominations to recognize and celebrate achievements and elevate the school's profile. Ensure all deadlines for prestigious medical and academic honors are met.

* Administer the nomination, committee review, and selection processes for university-wide honors, and prestigious national and international awards for faculty and Medical School awards for staff members. Proactively identify and solicit faculty and staff members for honors and awards.

* Coordinate the collection of supporting dossier materials, including curriculum vitae (CVs), bibliographies, and letters of recommendation, ensuring they meet specific committee requirements.

* Serve as a primary liaison between central awards offices, and Medical School departments and units to identify and prepare nominees for future submissions.

* Serve as the primary administrative liaison for awards committees, preparing agendas, recording notes, and tracking voting outcomes.

* Maintain a comprehensive tracking process to monitor faculty eligibility, past nomination history, and success rates.

* Liaise with MS events team on awards ceremonies and recognition of award recipients.

5%:
Other Duties

* Supervise student assistants and program staff as assigned.

Qualifications

Required Qualifications:

* Minimum of 6 years of relevant experience with increasing levels of responsibility in a complex organization.

* Bachelor's Degree.

* Excellent verbal and written communication skills; demonstrated ability to work and communicate productively with faculty, staff, and internal and external constituents.

* Excellent interpersonal skills with good negotiation tactics.

* Proactive and independent with the ability to take initiative.

* Computer experience in a networked environment, including experience with Microsoft Office Suite and Google Applications.

* Expertise with data management.

* Experience organizing and prioritizing multiple requests/tasks.

* Demonstrated discretion and ability to maintain confidentiality.

* Ability to work flexible hours when necessary.
