Job Title: Proposal Specialist

Job Type: Full-Time — Exempt

Location: Minneapolis, MN or Remote (US-Based)

About the Role

This role owns and manages the RFX/proposal process from intake through submission and serves as Plus’s primary proposal writer. It is a fast-paced, high-ownership position: nearly all of this role’s time is dedicated to producing, coordinating, and refining winning proposal content and the materials that support it. During periods of lighter proposal activity, this person contributes to other marketing projects and departmental initiatives.

The ideal candidate is a skilled writer and strategic thinker who is quick on their feet, brand-fluent, and relentlessly detail-oriented, someone who can gather insights and translate technical or complex information into compelling content. They take full ownership of their work and see each response through to a finished, submission-ready standard. They work autonomously while collaborating closely with the business development (BD) team, client relations directors (CRDs), subject matter experts (SMEs), and others to shape and adjust content that speaks directly to each prospect’s needs.

A genuine passion for sales and the buying journey is essential; this person understands that every proposal is an opportunity to help Plus earn new business and deliver delight.

Essential Functions
  • Own and manage the full RFX/proposal process from intake through submission, coordinating responses with the BD team, CRDs, and SMEs. Serve as the primary proposal writer for the organization.
  • Maintain proactive, ongoing communication throughout each proposal regarding status, progress, and timelines, keeping stakeholders informed and aligned from intake through submission.
  • Write, edit, and refine proposal responses to ensure clarity, consistency, accuracy, and alignment with company messaging and each prospect’s specific requirements.
  • Maintain a firm command of Plus’s brand standards and apply them consistently across all proposal and supporting materials.
  • Create brand-compliant supporting materials, including handouts and documents (Word and Excel) and presentations (PowerPoint), to support proposals and Best and Final Offer (BAFO) presentations.
  • Thrive in a fast-paced environment, adapting quickly to shifting priorities and tight timelines; anticipate needs and stay ahead of the process rather than reacting to it.
  • Work independently to move each proposal forward while collaborating with SMEs, BD, and CRDs to refine content in real time, adjusting responses together as a team to meet each prospect’s needs.
  • Review all materials with a vigilant eye for detail, checking every deliverable against the prospect’s specific asks, requirements, and evaluation criteria before submission.
  • Apply an understanding of sales and the buying journey to craft persuasive, prospect-centered content that advances opportunities.
  • Track proposal metrics and report on performance, maintaining accurate records of outcomes (e.g., win/loss) and surfacing insights and trends to inform future proposals and strengthen the win rate.
  • During periods of lighter proposal activity, contribute to other marketing content and initiatives such as website copy, blog posts, and case studies.
  • Maintain consistent and reliable attendance.
  • Maintain positive, professional relationships with clients and colleagues.
  • Proactively protect internal and external confidential information by complying with all security policies.
  • Maintain accurate “real time” records in all Plus systems and follow through on assigned tasks in all Plus systems, including the proposal management platform.
Qualifications
  • Minimum 2-3 years of experience in proposal writing; experience within the global mobility industry preferred
  • College degree in marketing or communications preferred

  • A genuine passion for sales and/or the buying journey, with an understanding of how strong proposals influence a prospect’s decision (essential to this role)
