Job Summary
The Driver Settlements Specialist ensures the prompt and accurate weekly payment of wages to Company Drivers and monies owed to Owner Operators. This role manages financial reconciliations, deductions, and pay adjustments using multiple software platforms, supporting payroll accuracy and maintaining strong communication with internal teams and drivers.
Essential Job Functions- Reconcile and process daily web downloads for cash and fuel advances.
- Manage deductions for Lease Purchase Operators and Owner Operators, including accounting services, insurance, escrows, satellite payments, fines, fuel tax, cell phones, and tools.
- Calculate and reconcile company‑provided benefits such as bonus miles, paid time off, holidays, referral bonuses, interest payments, base plate reimbursements, and deferred pay increases.
- Regulate passenger insurance deductions and create associated payables.
- Maintain and implement various pay rates and schedules across different driver fleets.
- Update driver records in payroll systems, including new hires, terminations, pay changes, tax updates, address changes, and direct deposit information.
- Monitor, scan, index, correct, and distribute billing and settlement documentation.
- Communicate with drivers and managers daily to resolve payroll inquiries and issues.
- Report key data to Accounting, Operations, and Lease Purchase departments.
- Maintain organized electronic payroll records for audits and internal reviews.
- Serve as a representative of the Company, displaying courtesy, tact, consideration, and discretion in all interactions with other members of the Koch community, customers and with the public.

- Perform additional duties and projects as assigned.

- Intermediate proficiency in Microsoft Excel and other Microsoft Office programs.
- Strong ability to manage multiple priorities and meet weekly deadlines.
- Proficiency in learning and navigating software platforms such as TMW and UKGPro.
- Clear and professional communication skills via phone, in person, and in writing.
- Team‑oriented mindset with the ability to work collaboratively.
- Ability to process high volumes of transactions under tight timelines.
- Ability to sit for up to 90% of the workday using a computer, phone, keyboard, and mouse.
- Ability to stand, walk, bend, and stoop for the remaining time.
- Ability to lift up to 15 pounds.
