Customer Service Rep, Office Administrator/ Coordinator
Position Summary
We are seeking a strong communicator with an eye for safety and security to join our team at the Front Desk of our supportive housing community Archdale in Downtown Minneapolis. This people-oriented, dependable and timely person with high emotional maturity will perform administrative, front desk duties, and light security functions, reporting to the Property Manager.
Key Responsibilities- Must become closely acquainted with the property and its residents, vendors, etc. to foster a sense of community and home, while maintaining professional boundaries.
- Have thorough knowledge and understanding of community rules and expectations, monitor building's security cameras and alarms, and maintain the harmony of the residents and their guests.
- Must be able to take charge and direct others in emergencies as they arise.
- Compose comprehensive reports outlining observations and activities during their assigned shift.
- Administrative duties include assembling resident files, processing move-in and move-out paperwork, assisting Site Manager with recertification paperwork for existing residents and other duties as assigned.
- Answer/route all incoming phone calls, maintain a welcoming environment, answer general inquiries.
- Assist residents and effectively and professionally diffuse resident or visitor confrontations, while acting decisively in any crisis situation.
- Effectively and accurately communicate all housing requirements/criteria for incoming marketing inquiries.
- Maintain desk area and lobby to ensure neat and professional appearance.
- Be timely and dependable, reporting to work for all assigned shifts, ready to begin work precisely at the shift start time.
- 1+ years of administrative experience or the equivalent is required.
- Security or closely related experience is preferred.
- Ability to engage in interpersonal communication that is culturally responsive, ensuring consideration for differing needs and expectations.
- Communicates clearly, uses polite phone manners, and provides helpful, friendly service.
- Proven ability to build and keep positive relationships with customers/clients while maintaining professional boundaries.
- Must show good judgment and common sense, follow directions and directives from supervisors, and follow company policies and guidelines.
- Proven ability to work independently and on a team.
- Must have the ability to maintain prompt and committed attendance.
- Must be a resourceful, problem solving, relationship‑building, seeker of excellence.

- Ability to remain in stationary position for extended periods while working at a computer and attending meetings.
- Ability to operate standard office equipment, including computers, phones, and printers.
- Ability to move about the office to access files, meeting spaces, and office equipment.
- Ability to reach above and below shoulder height to access file cabinets, storage areas, and office supplies.
- Ability to lift and carry materials up to 15 pounds on an occasional basis, such as meeting materials or event supplies.
- Ability to conduct property tours and inspections:
Includes walking through hallways, stairwells, leasing offices, common areas, and vacant or occupied apartment homes. This may involve navigating multiple floors and uneven surfaces. - Ability to communicate clearly and effectively, both verbally and in writing, in person and through virtual platforms.
- Ability to work in environments with moderate noise levels, including shared office spaces, meetings, and event settings.

Hours1st Shift, Monday - Friday 6:30am-2:30pm. Hours are not flexible. Candidate must have the ability to commit to listed schedule.
Compensation & LocationThe pay range for this position is $18-$20/hr depending on experience and skillset. This in-person position will work mostly at Archdale, with occasional work at Aeon's Central Office and off-site training and meeting facilities.
Cross‑trained Front Desk staff will have the opportunity to work at all supportive housing properties by request from their assigned Property Manager.
