Summary

This position will provide a high level of data quality to support our case management and meet compliance standards. This position will be responsible for data entry in Homeless Management Information System (HMIS), the review of case notes and files, staff training support, pulling reports and manipulating data in Microsoft Excel. This position requires an organized, detail-oriented, team player who possesses great communication skills and has experience working with large quantities of data.

Full-time, hourly position, 40 hours per week; primarily in-office.
After successful completion of the 90-day introductory period, hybrid work may be available based on position requirements and organizational needs.

Responsibilities HMIS Data Entry and Reporting Support
  • Assist with data entry and reporting for assigned projects in HMIS (Client Track) across multiple funding sources.
  • Follow the agency HMIS Reporting Calendar to support data quality and meet reporting requirements.
  • Understand how to identify and rectify errors on the various report types, be responsive to ICA and other funders who may require impromptu information to be pulled from HMIS.
SHS Client Track Application Support
  • Build and pull reports from Client Track to support case management, service delivery and fundraising as requested by managers and communications staff.
  • Ensure staff access to direct support for technical issues with the application or with data collection procedures - including assisting with Team Data Days and Data Pancakes.
  • Provide initial and ongoing Client Track training and documentation for staff on the application and data collection best practices.
  • Understand the different program requirements across funders in HMIS, and work with the OST Manager to update Client Track to better meet HMIS reporting needs.
  • Create and maintain training materials and reference guides in SharePoint.
Operations Support
  • Work in partnership with the OST Manager and team to identify ways to better support data quality across housing programs.
  • Assist in updating and organizing required program documents in Agency wide Share Point
  • Provide assistance to Programs Support Staff as needed
  • Collaborate with Operations Support Team
  • Assist in monitoring the Team email inbox and triage the customer support requests.
Public Relations/Networking/Liaison
  • Communicate quality assurance needs to program managers and staff.
  • Develop and maintain positive working relationships with staff and community partners.
  • Participate in professional meetings, workshops, and staff meetings.

Position Requirements
  • Bachelor’s degree or equivalent experience in education, training, and skills is preferred.
  • Minimum of one year working with data entry and reporting.
  • Experience working in social services with low-income individuals and/or families in need of housing is preferred.
  • Proficient in Microsoft Excel.
