The Accounts Payable Specialist willberesponsibleforcompiling,processingandmaintainingaccountpayable records. The position will report to the Controller. Candidate must be a confident self-starterabletomanage their responsibilities and taskswith minimalsupervisionfollowingthe initial training period.
Preferred schedule: 2fulldaysduringmonth-end closing weeks with slightly fewer hoursthebalanceofthe month.
PRIMARY RESPONSIBILITIES:Accountspayableprocessing (~ 85% ofthe role):
- Facilitate entry and payment of vendor invoices, which may include verification of vendor information, reviewing purchase orders, and resolving discrepancies.
- Routevendorinvoicestodepartmentmanagersforreviewand approval.
- Enter invoices,includingpurchaseorderinvoices,and applicable usetaxinNAVsystem.
Monitor invoices for fixed asset purchases. - Respondtovendorinquiriesandcommunicationsinatimelyandthorough manner.
- RecordACH/EFTpaymentsofinvoicesingeneralledgerastheyare processed.
- Recordbi-weeklypayrollandoffcyclebonusesentryingeneral ledger.
- Recordspettycashactivityand verifiesdocumentationof usage.
- Otherrelateddutiesas assigned.
- Assistswithaccountingrecordsandledgersbyreconcilingmonthly statement sand transactions.
- Updateand entermonthlyfreightaccrual-trackingcontainersandbillingsforfreightcost entry .
- Reconcilebalancesheetaccounts:depositstoCIP,usetax payable.
- Maintain additions,adjustmentsanddeletionsin
Sage Fixed Assets system. - Entermonthlydepreciationandamortizationin NAV.
