The Title Clerk is responsible for processing and managing all vehicle title and registration documentation for new, used, and wholesale vehicle transactions. This role ensures compliance with federal, state, and local regulations while maintaining accurate records and delivering exceptional support to customers, lenders, and dealership personnel. The Title Clerk plays a critical role in ensuring timely vehicle funding, title transfers, and registration processing.
Key Responsibilities Title & Registration Processing- Process vehicle titles, registrations, and license applications accurately and timely.
- Submit title paperwork to appropriate state agencies and monitor progress through completion.
- Verify ownership documents and ensure all title work complies with state regulations.
- Process title transfers for retail, wholesale, dealer trade, and auction transactions.
- Correct title discrepancies and resolve issues with customers, lenders, DMV offices, and other dealerships.
- Review deal jackets for completeness and accuracy before processing.
- Verify purchase agreements, odometer disclosures, lien releases, power of attorney forms, and other required documentation.
- Ensure all necessary signatures and supporting documents are obtained.
- Maintain organized electronic and physical records of all transactions.
- Track incoming titles and maintain title inventory records.
- Monitor title status reports and follow up on outstanding title issues.
- Assist accounting and finance departments with funding requirements.
- Ensure vehicles are available for sale only when proper title documentation is secured.
- Maintain compliance with federal, state, and dealership policies regarding vehicle titling and registration.
- Stay current on state DMV regulations and titling requirements.
- Protect confidential customer and dealership information.
- Assist during internal and external audits by providing required documentation.
- Respond professionally to customer inquiries regarding title and registration status.
- Communicate with lenders, state agencies, auctions, and other dealerships to resolve title issues.
- Provide support to sales and finance teams regarding title-related questions.
- High school diploma or equivalent.
- Previous automotive title clerk, dealership administrative, DMV, or accounting experience preferred.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficient with Microsoft Office and dealership management systems.
- Excellent written and verbal communication skills.
- Experience with CDK Dealer Services or other dealership management systems.
- Knowledge of state title and registration regulations.
- Experience working in automotive retail environments.
- Familiarity with electronic titling systems and lender funding processes.
