As the Bid Coordinator for Wieser Brothers General Contractor, Inc., you'll be the key member in facilitating all the bidding coordination of all projects in the pre-construction stage, while supporting all team members of the estimating/pre-construction department. Your role is pivotal in the success of bringing innovation and excellence to every aspect of the project's execution. Responsibilities:- Serves as the primary point of contact throughout the bidding and pre-construction process
- Communicates information, updates, and changes clearly and promptly
- Responds to emails and requests professionally and within established timelines
- Facilitates coordination and alignment across internal teams
- Shares new project opportunities with appropriate team members
- Collaborates with others to improve processes and workflows
- Attends required meetings and prepares clear, accurate follow-up documentation
- Coordinates and schedules meetings, including bid invitations and required participants
- Prepares, formats, and distributes proposals, budgets, scopes, and bid documents
- Maintains organized, accurate documentation for active projects
- Tracks required forms, signatures, and submission requirements
- Prepares and submits RFIs and related documentation as required
- Ensures all bid submissions are complete, accurate, and on time with project requirements for all bids
- Coordinates required compliance documentation, bonds, insurance, and qualifications
- Monitors incoming documents and processes them promptly
- Logs, saves, distributes, and maintains project files and records
- Tracks deadlines, due dates, and critical milestones using shared systems
- Submits finalized materials through required platforms and channels
- Maintains awareness of different project delivery and bid processes
- Engages with external partners to ensure clear communication and complete information
- Supports planning efforts through reporting, scheduling, and workload forecasting
- Remains proactive by anticipating needs, identifying next steps, and staying organized
Required Skills:
- Minimum of an Associate’s degree is preferred or 5+ years of administrative support
- Candidates must possess strong communication and collaboration skills
- Proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
- Strong time management and organizational skills with the ability to prioritize and multi-task in a fast-paced environment
- Ability to problem-solve and think creatively
- Must be detail-oriented with the ability to maintain a focus on quality and accuracy
- Ability to remain calm and professional when faced with tight deadlines
- Excellent verbal and written communication skills with the ability to collaborate and communicate effectively with all levels of the organization
- Demonstrate commitment to continuous learning

- Must possess a valid driver's license
