Central Services Administrative Specialist, Intermediate

Responsibilities

This position provides clerical assistance in the operation of the Minnesota Correctional Facility (MCF)-Rush City mailroom, sorting and distributing all incoming and outgoing mail to staff and offenders. The role also assists in the offender canteen, property, and serves as the receiving clerk for Support Services Operations. The incumbent is required to maintain a controlled setting with a focus on security to prevent contraband and unallowable items from entering or leaving the facility via the mailroom, property, or loading dock.

Minimum Qualifications
  • Math skills sufficient to perform basic calculations, process orders and UPS shipments, determine postage, reconcile statements, and prepare purchase requests.
  • English language skills (written, oral, and reading) sufficient to communicate clearly and understand required documents.
  • Typing/keyboarding skills sufficient to perform skilled typing tasks with speed and accuracy.
  • Word processing skills (preferably Microsoft Word) to prepare grammatically correct documents.
  • Spreadsheet software skills (preferably Microsoft Excel) to enter, develop, and manipulate spreadsheets.
  • Data entry skills to access and update DOC‑specific databases and other computer systems to gather and report data (e.g., SWIFT‑Fixed Assets, iTag, JPay, Boxi, EIORs, Outlook, iShare, Fed Ex, Speedy and mailroom programs).
  • Database management skills to query information from computer logs and systems such as COMS.
  • Customer service skills to diplomatically interact with staff, offenders, other agencies, and the public via phone and in‑person.
Preferred Qualifications
  • Experience working in a mailroom in a large organization.
  • Experience working in a secured or correctional setting.
  • Experience managing fixed assets in a large organization.
  • Knowledge of iTag, COMS and/or JPay.
Additional Requirements

Selection may include screening the top candidate(s) on criminal history, predatory offender registration, offender associations, and/or other applicable background information in accordance with Department of Corrections policy. Candidates must pass a criminal history check that includes completion of sentencing and/or restitution requirements, including probation. Employment history/reference checks (including incidents of sexual harassment) will also be conducted in accordance with policy.

Physical Requirements

The selected finalist is required to review and sign a Physical Demands Analysis (PDA) and may be required to complete a tuberculosis screening.
