Front Desk Administrative Assistant

We are seeking a professional, personable, and highly organized Front Desk Administrative Assistant to serve as the first point of contact for visitors, employees, and external partners. This role is essential in creating a welcoming and compliant workplace while providing administrative support to the Human Resources team.

The ideal candidate is customer-focused, detail-oriented, and adaptable, with strong communication skills and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities
  • Greet visitors, employees, and vendors in a professional and friendly manner, ensuring a positive first impression of the organization.
  • Answer, screen, and direct incoming phone calls to appropriate departments and team members.
  • Respond to general inquiries promptly and courteously, providing accurate information and assistance.
  • Perform data entry, document preparation, report generation, and other administrative tasks supporting HR operations.
  • Manage front desk operations, including visitor check-in procedures and badge creation.
  • Coordinate meetings and perform general office duties such as copying, filing, scanning, and mail distribution.
  • Order office supplies, employee gifts, and assist with hospitality arrangements for company events and activities.
  • Support the HR team by updating letters, forms, and standard work instructions while ensuring accuracy, completeness, and professionalism.
  • Assist with pre-employment processes and onboarding activities, including tracking paperwork and entering new hire information into HR systems.
  • Coordinate onboarding documentation with Payroll and maintain accurate employee records.
  • Ensure compliance with I-9, E-Verify, ITAR, EEO, and Affirmative Action requirements.
  • Maintain training records and assist with training event coordination and reporting.
  • Act as a liaison with external vendors, benefits providers, medical screening partners, transport companies, and emergency personnel when needed.
  • Handle confidential information with professionalism and discretion.
  • Adapt to changing priorities and support special projects and other duties as assigned.
Required Qualifications
  • High school diploma or GED required.
  • Minimum of 1 year of experience in a receptionist, administrative assistant, customer service, or other customer-facing role.
  • Excellent verbal and written communication skills.
  • Strong customer service skills with the ability to professionally assist visitors and callers.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Positive attitude, strong work ethic, and proactive approach to responsibilities.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong organizational, time management, and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Comfortable working in a fast-paced, dynamic, and multicultural environment.
  • Ability to quickly adapt and reprioritize tasks as business needs evolve.
Preferred Qualifications
  • Associate degree or additional post-secondary education.
  • Administrative experience or demonstrated aptitude for administrative and HR support functions.
  • Experience using office equipment, including phone systems, copiers, printers, and scanners.
  • Intermediate proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience with HRIS systems or the ability to quickly learn new HR technologies.
  • Ability to compile information and create basic reports.
  • Understanding of HR processes, procedures, and compliance requirements.
  • Experience maintaining accurate records and documentation.
  • Manufacturing industry experience.
  • Bilingual language skills are a plus.

This is a Contract to Hire position based out of Spring Lake Park, MN 55432.

Pay and Benefits

The pay range for this position is $18.00 - $20.00/hr.
