About the Position
  • Benefits and Leave of Absence Coordinator
  • Temporary Full‑time 1.0 FTE (80 hours per pay period) to last approximately 6 months. The role's functions will be assessed prior to the six‑month mark to determine continuation of FTE.
  • Monday - Friday
  • Onsite at Grand Itasca Clinic and Hospital
Job Summary

The Benefit and Leave of Absence Coordinator provides technical, clerical and administrative support to the Benefits Administrator and Leave of Absence Administrator. Reviews, researches and submits accurate benefit and leave of absence data in compliance with regulations. Position may perform support tasks and assignments within the full Human Resource Department. This position handles material that is sensitive and confidential in nature.

what you’ll do when you join us
  • Assist and review employees are accurately enrolled in appropriate health, welfare and retirement plans in a timely manner.
  • Audit benefit invoices for accuracy and coordinate payment. Process assigned benefit‑related status reports and changes.
  • Assist in maintaining and auditing group benefits databases and HRIS system benefit records/deductions. Obtain regular benefits reports extracting data from the database.
  • Assist with design and distribution of materials for benefits orientations, new employee welcome, open enrollment and summary plan descriptions.
  • Coordinate Retiree benefits, (former Itasca Medical Center retiree's) medical, dental, and life, which includes payment collections, works collaboratively with Itasca County Benefits Office, correspondence related to premium increases, and research of retiree information and billing.
  • Track, enter and provide necessary documentation for COBRA, Leave of Absences, Ergonomic Assessments, ADA requests, collective bargaining agreement wage increases and PTO donation requests.
  • Complete labor statistic reports.
  • Research & compile data for special personnel projects, process documentation & completes miscellaneous research, reports, and memos as requested.
  • Assist in coordinating Learning Management System ensuring accuracy of employee data and timely assignment of learning modules. Coordinate with Fairview LMS team to resolve issues.
  • Perform other relevant duties as required or directed.

  • At least two years of experience in human resources or relevant post‑secondary education or at least two years of experience including benefit, insurance, and/or leave of absence responsibilities.
  • Strong analytical, mathematical, planning and decision‑making skills.
  • Ability to interpret and apply union contract language, employment law and benefit regulations (state and federal).
  • Ability to manage multiple projects and priorities. Detail oriented.
  • Foundational knowledge and experience in Microsoft computer applications (Excel, Word).
  • Experience in handling, researching and resolving employee or customer issues.
  • Ability to successfully function in an environment of multiple priorities and frequent interruptions.
  • Ability to build positive working relationships and collaborate across teams.
  • Demonstrated ability to follow and adhere to Grand Itasca Clinic and Hospital policies, vision, mission and values.
  • Maintains reliable and consistent attendance.
