This Executive Assistant will work as part of our c‑suite administrative team and will directly support our Chief Information Officer. This high-visibility, fast-paced role requires sound judgment, discretion, and communication skills. We are seeking a proactive professional with demonstrated experience working with a leadership team and who has the ability to interact with internal and external clients and colleagues at all levels.
This is an on-site position, Monday through Friday, and will ensure continuity, efficiency, and high-level support.
Key AccountabilitiesEffective Calendar Management
- Proactively manage complex, high-volume calendars for two senior executives
- Schedule meetings, anticipate conflicts, and ensure alignment with business priorities
Administrative Support
- Organize, prepare, and distribute agendas and materials for meetings
- Attend meetings as needed to take notes, track follow‑ups, and ensure timely completion of action items
- Serve as a key point of contact for internal teams and external partners visiting the Minnetonka office
- Ensure the executives’ work spaces and meeting logistics run smoothly
Coordination of Activities and Data Management
- Interface effectively with other executive assistants and department leaders across the company to align calendars, coordinate joint efforts, and support enterprise initiatives
- Assist with project coordination and tracking for strategic initiatives led by the executives, as needed
Communication
- Draft, review, and manage professional communications on behalf of senior executives, including emails, memos, and presentations
- Handle sensitive information and matters with a high degree of confidentiality and professionalism
Invoice and Expense Report Processing
- Coordinate domestic travel arrangements, itineraries, and accommodations
- Process related expenses in a timely and accurate manner
- Bachelor's degree or equivalent experience
- 4+ years of experience supporting senior-level executives in a fast‑paced, corporate environment
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint, Zoom)
- Demonstrated experience in leveraging AI productivity tools (ChatGPT, Microsoft Copilot, or similar) to enhance efficiency, quality, and speed of work
- Exceptional organizational skills and attention to detail
- Proven ability to manage multiple priorities while maintaining flexibility and responsiveness
- Excellent verbal and written communication skills
- Demonstrated professionalism, discretion, and judgment
- Experience supporting more than one executive simultaneously
- Prior experience in health care, technology, or strategy functions preferred
- Experience working within or supporting project-based work or change/transformation initiatives preferred
This position is an office role, which requires an employee to work from the designated office, Minnetonka, MN, 5 days a week.
The full salary grade for this position is $70,200–$120,400. While the full salary grade is provided, the typical hiring salary range for this role is expected to be between $70,200 and $105,315.
