Who We Are Looking For
We're looking for an experienced, relationship-driven professional who thrives in a high-touch client service environment — someone who takes genuine pride in making every client feel taken care of, from their very first appointment through the delivery of their financial plan. If you love the idea of joining a growing advisory team that values experience, connection, and doing things the right way, we'd love to meet you.
* This is NOT an entry-level position and is not a pathway into a financial advisor or wealth management role. Please do not apply if you're seeking a paraplanner or advisor position.*
About the RoleAs a Client Service Associate, you'll be at the heart of the client experience for a well-established advisory practice. You'll be a familiar, trusted face and voice for our clients — the kind of person they're always glad to hear from. This is a high-visibility role where responsiveness, clear communication, and a proactive mindset really shine.
What You Will Do- Work closely with clients, advisors, and staff across the team.
- Schedule client meetings and keep team calendars running smoothly.
- Open and maintain investment accounts across our custodians and third-party account platforms.
- Keep our CRM accurate and up to date.
- Lead marketing efforts, including quarterly newsletters, client events, webinars, social media, and other client communications.
- Assist with light travel planning for clients and team members.
- Manage client communications and help maintain a consistent, polished brand.
- Ensure compliance with industry regulations and firm policies across all client interactions and documentation.
- Partner with custodians, vendors, and technology providers to keep operations running smoothly and resolve issues quickly.
- Use AI tools (like Claude and others) to work more efficiently — or bring the willingness to learn and help lead adoption of these tools across the team.
- 2+ years of experience in a client service role at a wealth advisory firm.
- Excellent written and verbal communication skills, with a warm, polished phone presence.
- Strong reception, scheduling, and calendar management experience.
- High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Familiarity with Mailchimp or a similar marketing platform.
- Strong knowledge of Redtail or a similar CRM.
- Proactive:
You see potential issues coming and already have a plan to handle them. - Detail-oriented:
You take real pride in precision and getting things right the first time. - A team player:
You know that in a close-knit practice, everyone pitches in wherever they're needed — and you're happy to do it. - Approachable:
You're often the first friendly voice our clients and prospects hear, and you make that count.
- Join a stable, well-respected practice with deep client relationships built over decades.
- Work alongside a collaborative, experienced team that values your contributions.
- Competitive 401(k) with 3% match.
- Paid time off (vacation and sick time, with flexibility as needed).
- Professional development assistance.
- Bonus opportunities.
