Office Administrator/ Coordinator
POSITION OVERVIEW
The Client Service Specialist / Executive Assistant is a key member of the family office team, responsible for supporting clients across a range of financial and personal services. This client-facing role involves direct interaction with family members and the wealth planning team, in addition to coordination with internal departments including accounts payable, tax, and investments.
PRIMARY RESPONSIBILITIESBanking Administration
- Work closely with our clients, the wealth planning team, and accounts payable on all banking needs for the family
- Work directly with the banking point of contact to open and close accounts, administer credit cards, assist with card fraud, and process money transfers
- Coordinate and complete investment account opening and subscription documentation
Insurance Administration
- Work closely with wealth planning team on annual insurance renewals for property and casualty insurance
- Coordinate insurance bills for payment
- Work with family members and insurance brokers on insurance claims
Personal Services
- Coordinate renewal of driver’s licenses, travel visas, and passports
- Support family logistics, including transportation, and special events
- Help coordinate residential moves and set up of utilities
- Ad hoc projects for family members as requested
- Maintain family portal and CRM systems
- Ensure accurate record retention and provide backup support within the team
- Bachelor’s degree with at least three years of experience in financial client service, executive assistance, or office management
- Previous family office experience preferred
- Exceptional communication and client service skills
- Strong organizational abilities and attention to detail
- Professional demeanor, discretion, and adaptability
- Proficiency in Microsoft Office;
Salesforce experience is a plus
The anticipated salary range is $75K-$90K; however final compensation will be based on the candidate’s qualifications, including education, relevant experience, and demonstrated skills. This position is also eligible for an annual incentive.
