Job Overview
Terralume Signature Memory Care is a new, boutique community designed exclusively for individuals living with Alzheimer's and other forms of dementia. Located off Wayzata Boulevard in Minnetonka, we are opening Spring 2026 and building a team of compassionate, adaptable professionals who want to help shape something truly special.
The Resident Services Coordinator provides a wide range of administrative support to the community. May also serve as a Receptionist or Resident Experience Specialist for the community.
This schedule includes:
- 80 hours every two weeks; full-time
- Day Shift
- Every other weekend and Holiday rotation
- Maintain nursing staffing schedule for the community.
- Updates master nursing schedules as needed.
- Communicates staffing schedule changes.
- Communicates to the Director of Health Services (DHS) open blocks/positions.
- Posts the daily schedule in a common area/space.
- Determines PPL eligibility and, in consultation with the DHS, approves or denies based on community policy.
- Determines staffing needs/open shifts.
- Communicates open shifts and takes necessary steps to fill shifts promptly.
- Approves/denies employees' schedule trades.
- Notifies DHS of status changes and permanent schedule change requests.
- Document attendance/tardiness reports, notifying DHS of individuals requiring disciplinary action.
- Participates in on-call staffing rotation.
- Coordinates Administrative functions:
- Assists DHS with E-Time (Payroll) for nursing department employees.
- Assists DHS in tracking education compliance to ensure that all documentation is in place (Educare, supervisory visits).
- Assists DHS with scheduling new employee interviews.
- If applicable, may assist with new hire paperwork.
- Assists with new hire personnel file setup.
- Coordinates training and maintains records:
- Coordinates new employee training on the Friday after NEO.
- Enters and reviews completed training and reports issues to the DHS.
- Assigns annual Educare training.
- Reviews Educare for all departments, reporting issues to the appropriate supervisor.
- Assists with billing, accounts receivable, and accounts payable:
- Enters charges for miscellaneous services as assigned.
- Ensures paperwork for long‑term care insurance plans is completed as requested by the resident, and invoices are sent.
- Assists with processing deposits.
- Assists in processing Accounts Payable.
- Assists with confirming services (audits, charges) to ensure accuracy in Eldermark.
- Coordinates resident communication.
- Schedules care conferences.
- Maintains resident directories.
- Coordinates providers that come on‑site for services such as podiatry and physicians.
- Assists DHS with resident correspondence.
- Provides marketing support as requested by collecting information from prospective residents and may provide tours for prospective residents.
- Vocational school, training, or Associate's Degree
- 1+ years of experience
- Previous experience working with Eldermark and Educare
- Health Unit Coordinator training
