Administrative assistants (AA) are an important part of every team provide valuable support to staff, clients and outside organizations that keep our operations running smoothly.
Typical ResponsibilitiesWhile there is a wide variety of AA positions at Oaklawn, most include:
- Provide primary administrative support to assigned supervisors
- Serve as an effective resource that assists in overall communication throughout the organization and its related businesses
- Utilize the most appropriate and effective mode(s) of communication
- Provide excellent customer service in a trauma‑informed manner
- Prepare and disseminate correspondence with accuracy using appropriate written and verbal business language
- Operate office equipment required for the position (phone, fax, copier, computer and printer)
- Maintain files and materials in an organized orderly fashion
- Process and distribute incoming and outgoing mail in a timely fashion
- Effectively communicate during emergency situations (fire and disaster drills)
- Prepare supply orders as needed
- Prepare, maintain and distribute meeting minutes efficiently as needed
- Provide phone answering services and accurately transfer calls as needed
Most support staff also interact frequently with clients, which includes youth in residential treatment and their families, service providers, staff and visitors. It is of utmost importance that our support staff help foster positive interactions with clients. The support staff should be knowledgeable of stress management and conflict resolution techniques and be able to respond and communicate clearly in emergency situations.
Paid training in these areas is provided.
- High school diploma or equivalent
- Must be 21 years old or older
- Must have a valid driver's license
- Must be flexible in availability, including evening/holiday/weekend coverage, when needed
- Prior office/administrative experience highly recommended
