About the Role

We’re seeking a proactive, highly organized Administrative Coordinator, Mission to provide administrative, operational, and communication support to the Senior Vice President (SVP), Mission. In addition to supporting the SVP, this role also assists the broader Mission Leadership Team, which includes five Executive Directors, to enhance the overall effectiveness and efficiency of the department. Reporting directly to the SVP, Mission, this position is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and is passionate about contributing to work that makes a meaningful impact.

Location:

Our national office is located at 1000–170 University Avenue, Toronto, Ontario. We offer a flexible work arrangement, allowing employees to work remotely while occasionally coming into the office as required by their manager or the organization.

Compensation:
The salary hiring range for this role is $57,000–$63,000 annually, commensurate with experience and alignment with the requirements of the position.

What You’ll Do
  • Support to the SVP, Mission:
    Manage the SVP’s calendar, meetings, travel arrangements, and daily priorities with professionalism and discretion. Serve as the primary point of contact for the SVP, liaising with internal teams, external partners, government and corporate contacts. Draft, edit, and proofread correspondence and documents, including emails, letters, presentations, and Senior Leadership Team materials. Prepare meeting agendas and materials for the Board of Directors Mission Committee and assist with post-meeting reporting.

    Handle expense reports, purchase orders, corporate card reconciliations, and other administrative or procurement tasks.
  • Mission Leadership Team (MLT) and General Support:
    Provide timely administrative support for Mission team initiatives. Organize MLT meetings and other departmental gatherings: draft agendas, gather documents, and coordinate logistics. Maintain organized filing systems and documentation practices. Support accounting and procurement processes, including purchase orders, Contract Approval Forms, and other departmental requirements. Keep volunteer and researcher databases updated and accurate. Contribute to special administrative or operational projects as assigned.

    This role is not limited to the responsibilities listed above and may include other duties as required.
What You Bring
  • Post-secondary diploma or degree, or equivalent experience.
  • 2–3 years of related administrative experience; experience supporting senior leaders is an asset.
  • Experience in the not-for-profit sector is preferred. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Teams) and comfort working with multiple systems.
  • Strong organizational and time-management skills, with the ability to handle competing priorities.
  • Excellent communication skills and a professional, customer-service-oriented approach.
  • Exceptional writing, editing, and proofreading abilities.
  • High attention to detail, strong analytical thinking, and sound judgment.
  • A collaborative spirit, able to build strong relationships across the organization.
  • Self-motivated, resourceful, and solutions-oriented.
  • Ability to maintain confidentiality and navigate sensitive information with discretion.
