Position Overview:
The Clerical Assistant provides essential clerical and administrative support to the Practice Assistant within the local client office. This role ensures smooth daily operations by managing documentation, assisting with credentialing and onboarding, handling communications, and supporting various office and billing functions. The ideal candidate is detail-oriented, organized, and demonstrates strong communication skills.
Key Responsibilities:
- Assist with facility credentialing processes and physician onboarding activities.
- Sort, distribute, and manage incoming mail efficiently.
- File and fax confidential documents securely, ensuring compliance with privacy regulations.
- Scan and upload documents into team shared folders to maintain organized digital records.
- Prepare and print reports such as physician payroll and other requested documentation.
- Assemble meeting materials and handouts as needed for team or client meetings.
- Answer office phone calls courteously; assist callers, including collecting pre-payments and responding to billing inquiries.
- Manage subpoenas and billing requests promptly and accurately.
- Support special projects and administrative tasks as assigned.
- Serve as backup for courier pick-up duties and scanning of charges when required.
Qualifications:
- High school diploma or equivalent.
- Proficient in Microsoft Word and Excel.
- Typing speed of at least 40 words per minute.
- Strong ability to maintain confidentiality and handle sensitive information appropriately.
- Familiarity with standard office equipment, including printers, phones, fax machines, and copiers.
- Detail-oriented with strong organizational and multitasking abilities.
