We’re looking for an Executive Assistant & Operations Coordinator to support the CEO and help keep Newton’s internal operations running smoothly. This is a hybrid role that blends executive support, office coordination, and hands-on involvement in scheduling, vendor management, finance, and team logistics.
You’ll be at the center of day-to-day operations, working closely with leadership while ensuring that internal systems are organized, efficient, and responsive. This is a great role for someone who thrives on structure, loves getting things done, and enjoys supporting high-impact work behind the scenes.
What You'll DoOversee smooth internal operations: supplier invoicing, payments (local and international), and expense tracking
Manage payroll setup and monthly employee submissions (salaries, reimbursements, travel, benefits)
Handle purchase order processes, digital documentation, and structured file management
Coordinate office operations: cleaning vendors, supplies, deliveries, and basic tech setups
Lead import/export logistics and liaise with shipping and customs providers
Own onboarding and offboarding workflows, including employment agreements and option grants
Track insurance, vacation/sick days, and benefits logistics
Support company culture through initiatives like birthdays, holidays, team gifts, and events
Create and refine internal SOPs, templates, and operational policies
Manage the CEO’s calendar, prioritize meetings, and coordinate across global time zones
Triage emails and communication requests to keep priorities aligned
Support the broader leadership team with scheduling, logistics, and prep
Represent the CEO in coordinating agreed tasks with internal and external stakeholders
Organize investor meetings, client demos, and high-touch visits
Events, Travel, and Growth Ops
Coordinate international team travel: flights, accommodations, itineraries, expense reports
Support Newton’s presence at global conferences: registrations, materials, logistics
Help prepare reports and documentation for Chief Scientist grants and other programs
Assist with strategic planning sessions, investor updates, and board-level prep

Excellent verbal and written communication — especially when coordinating across people, tools, and time zones
Comfort handling confidential information and working closely with leadership

Enthusiasm for structure, systems, and helping a growing company run smoothly
Qualifications2–4 years of experience in an Executive Assistant, Operations Coordinator , or Office Manager role
Experience managing calendars, travel logistics, and internal coordination for leadership
Familiarity with operational tools and software (HR, Payroll, task management, etc)
Comfortable working with vendors, invoices, internal systems, and light finance admin
Bonus: experience in startups, healthtech, or fast-paced, high-trust environments
Bonus: fluent in both English and Hebrew
