The Advancement Administrative Assistant provides essential administrative and operational support to the Advancement team, ensuring smooth daily operations and excellent donor experiences.

This role requires strong organizational skills, attention to detail, and a collaborative mindset, along with the ability to manage multiple priorities in a fast-paced, mission-driven environment. This role ensures donors experience Springs Rescue Mission as organized, responsive, and genuinely appreciative.

DUTIES & RESPONSIBILITIES Administrative & Office Support
  • Manages the Donor Care phone line and directs incoming calls as needed
  • Receive, sort, and distribute incoming mail for the Advancement team
  • Arrange and schedule team meetings, including room reservations and catering as needed
  • Provide general administrative support to the Advancement team, including making copies, taking meeting notes, and tracking and reporting action items
Database & Donor Support
  • Perform general data clean-up in the donor database, ensuring accuracy and completeness of donor information
  • Engage with the general donor file through phone calls, mailings, and email communications, as directed
  • Review gift processing communications and update in CRM as appropriate
Supplies & Facilities Coordination
  • Maintain inventory and place orders for promotional materials and office supplies, ensuring adequate stock for departmental needs
  • Serve as liaison with Facilities regarding building and office needs
  • Help keep the Advancement office tidy, organized, and welcoming
Event & Logistics Support
  • Assist with event logistics, including Community Connections; reserving campus spaces, coordinating set-up and tear-down, managing catering communications and assisting with other fundraising events
  • Contact venues to schedule site visits and support event planning needs
  • Assist with sending invitations and communications to event attendees
  • Attends all required meetings and reviews SRM emails regularly
  • Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
Requirements EDUCATION / EXPERIENCE
  • Associates or Bachelor’s degree preferred
  • Two to four years administrative experience or like experience required
SKILLS AND QUALIFICATIONS
  • Maintains a personal relationship with Jesus Christ and is a constant witness. Attends church weekly and abides by biblical principles with life choices. Christ-centered and compassionate attitude in dealing with people including the homeless and faithfully upholds and exemplifies SRM’s Statement of Faith
  • Consistently conducts self in a professional, courteous, and efficient manner.
  • Dresses appropriately for the environment and occasions.
  • Strong customer service skills: able to address inquiries, provide information and engage donors in a cheerful and professional manner clearly, and personably.
  • Highly organized with exceptional attention to detail. Good problem-solving skills.
  • Great time management skills and attention to detail
  • Good verbal and written communication skills. Appropriate grammar for composing business correspondence and editing collateral materials
  • Professional, donor-centered approach in all communications
  • Commitment to supporting the mission and values of the organization
  • Computer literate, with working knowledge of Word, Excel spreadsheets, Google sheets, internet, contact management database, and email
  • Must be discrete and maintain confidentiality at all times.
